Position Summary:

The University Services Program Associate provides essential administrative services for the Department of Mechanical Engineering. Under the general supervision of the Academic Department Manager, this position requires excellent organizational and communication skills (both oral and written), as well as a high proficiency and comfort using a variety of computer tools. This position requires considerable professionalism, attention to detail, independent initiative and judgment, and a high level of administrative problem-solving and analysis.

The Administrative Assistant acts as the department receptionist, helping visitors, students, staff, and faculty, often as the first point of contact (phone, email, in person) for people in industry, government, other universities, and elsewhere at UW-Madison. The Administrative Assistant replies to inquiries, directs people to the right source for answers to their questions, and supports the overall mission of the department. They provide high-level administrative support to the Academic Department Manager and the Chair, including support for new faculty recruitment. They assist with the planning, set-up and execution of department-wide events and process a significant volume of financial transactions.

The Department of Mechanical Engineering (ME) in the College of Engineering (CoE) enrolls approximately 850 undergraduate students and 250 graduate students from all over the world. The Department has 34 faculty, 10 academic staff, and 2 university staff, with broad research operations ranging from engines to biomechanics.
