Database Manager and Prospect Researcher

Job Description:

The Database Manager and Prospect Researcher is primarily responsible for the overall management and integrity of the Lock Haven University/LHU Foundation alumni and donor database (Raiser’s Edge). This position is a key member of the University’s Advancement team and supports the fundraising, alumni relations, and prospect research needs of the department. The Database Manager leads data collection efforts as well as managing the systems which support this work. This position also compiles and prepares research intelligence on key internal and external relationships including alumni, donors, volunteers, parents, corporations, faculty, and staff. This person reports to the Director of Alumni Relations and works collaboratively with individuals across all University departments to promote priorities that serve the mission and students of LHU.

Essential Duties:

•Self starter – being motivated and ambitious to maintain the database
•Self motivated – ability to research prospects and donors based on informational findings.
•Effective communication (verbal and written) and ability to maintain good interpersonal relationships.
•Ability to maintain a high degree of confidentiality and responsibility regarding information related to University business and confidential prospect information.

Specific Duties:
Data Management:

•Create policies and procedures to ensure the donor database is accurate and effective.
•Plan, implement, and supervise the collection, entry, updating, output, and usage of all demographic, financial, background, and relationship information on all constituents, alumni, friends, corporations, foundations, organizations, and all others.
•Work with LHU staff to maintain accurate constituent records including address changes, contact updates, biographical information, news, new constituent entries, and cultivation notes.
•Arrange all necessary training for new users or new data systems and processes and provide Raisers Edge technical support to all users.

Data Maintenance and Security:

•Serve as LHU’s data protection officer responsible for overseeing data protection strategy and implementation to ensure compliance with local, state, national and international requirements.
•Administer all aspects of Raiser’s Edge, including database maintenance, security, upgrade and all data maintenance and update processes, and import of new graduates.
•Serve as primary point of contact for business intelligence tools and resources (e.g. AlumniFinder, Research Point, DonorSearch, iWave, etc.)

Data Reporting/Business Intelligence:

•Produce and maintain all standard activity reports such as: daily, weekly, and monthly gift reports; prospect lists, gift officer action reports, goal-setting and donor history reports.
•Develop special reports including annual census reports, fund reports, capital campaign reports, alumni participation reports, the annual Voluntary Support of Education report and all other reports from Raiser’s Edge as needed.
•Perform additional analytical procedures in and out of the donor database to support the business intelligence and research needs of the division (e.g. RFM, affinity targeting, engagement scoring, etc.)
•Create and maintain effective appeal tracking policies and procedures. •Manage and implement a data request policy and data request forms for all university stakeholders

Prospect Research:

•Establish solid and reliable donor research methods to create detailed prospect profiles for use by the Office of University Advancement staff that will include information on community involvement, philanthropic activity, personal and corporate connections, important relationships, historical data and any other information relevant to the university and foundation.
•Attaches prospect profiles to records in Raiser’s Edge

Other Responsibilities:

•Provide a level of professionalism and courteousness to current and perspective donors, Foundation and University staff at all times
•Generate miscellaneous donor and internal correspondence (phone/email/mail)
•Complete other development and alumni relations projects as assigned.

Minimum Qualifications:

•Bachelor’s Degree
•Minimum of three (3) years database management experience or a combination of education and experience from which similar knowledge and skills have been acquired.
•Prior demonstrated experience in data manipulation, data visualization, and data reporting.
•Evidence of ability to compile disparate information into an organized manner.
•Evidence of ability to address multiple projects simultaneously.
•Ability to maintain a high degree of confidentiality and responsibility regarding information related to University business and confidential prospect information.

Preferred Qualifications:

•Three (3) or more years of direct Raiser’s Edge (or comparable non-profit CRM system) database management experience.

Organization

Lock Haven University of Pennsylvania (LHUP) was founded in 1870 as the Central State Normal School, offering a two-year program designed to train teachers for the public schools. In 1927, the school became a four-year degree-granting college of teacher education. With the inauguration of the Arts and Science degree program in 1960, the multi-purpose institution became Lock Haven State College offering Bachelor of Arts and Bachelor of Science degrees in liberal arts fields, along with the Bachelor of Science in Elementary and Secondary Education, and a Bachelor of Science in Health and Physical Education. In 1983, the institution was renamed Lock Haven University of Pennsylvania.
 
 The main campus of LHUP is located in the ridge and valley province on the edge of the Allegheny Plateau. The West Branch of the Susquehanna River runs alongside the campus while the valley is surrounded by the Bald Eagle Mountains. The area is rich in outdoor recreational opportunities -- swimming, boating, fishing, hunting, hiking, canoeing, camping and skiing. Even so, the cultural centers of New York City, Philadelphia, Pittsburgh, Baltimore, and Washington, D.C. are only a few hours drive from the main campus.
 
The town of Lock Haven is a small, charming community. The historic district contains tree-shaded streets and immaculate Victorian homes. The University supports the city in many ways. For example, students volunteer to work in local social service agencies and businesses, and the University sponsors cultural and athletic events.
 
The University also operates a branch campus in Clearfield, 60 miles west of Lock Haven, that offers an associate of arts degree in criminal justice, an associate of applied science degree in healthcare professions, an associate of science degree in business administration, an associate of science in nursing degree and a bachelor of science in nursing degree. This campus is also located near the west branch Susquehanna River. 
 
Today, the University offers the Bachelor of Arts and Bachelor of Science degrees in liberal arts fields; the Bachelor of Fine Arts in Music and Bachelor of Fine Arts in Studio Arts; the Bachelor of Science in Education; the Bachelor of Science in Health and Physical Education; the Bachelor of Science in Recreation and the Bachelor of Science in Health Sciences. At the graduate level, the University offers the Master of Education in Teaching and Learning, Master of Education in Alternative Education, Master of Education in Educational Leadership, and the Master of Health Science, Physician Assistant, and associate of applied science in nanotechnology.
