SUMMARY OF POSITION:
The University of Miami Libraries seeks nominations and applications for a collaborative, innovative, service-oriented professional to serve as the Head of Access Services. Under the direction of the Associate Dean for Library Information Systems, Access, & Facilities, the Head of Access Services provides leadership, management, and coordination for all aspects of the Access Services Department, consisting of Circulation Services, Course Reserves, Interlibrary Loan/Document Delivery Services, Off-Site Storage, and Stacks Management. This position has a key role in developing, evaluating, and implementing innovative, user-focused services for delivering academic information resources to the University community and fostering an environment of responsive and welcoming customer service. Access Services governs access policies and trains front-line staff and student employees in Richter Library. The Head of Access Services does not directly supervise staff in the subject-specialty libraries (Architecture, Business, Marine and Atmospheric Sciences, Medical, and Music), but does offer expert guidance and collaborative support as requested by the Heads of these libraries. The incumbent works closely with the Associate Deans and other stakeholders to make recommendations regarding public and collection space utilization, and additionally serves as copyright resource person. Access Services is a key library partner in the Learning Commons, a strategic initiative to improve student learning at the University by offering coordinated and co-located academic support services within the library. The incumbent will collaborate with other library leaders on evolving projects, including development of a master plan for Richter Library, completion of the Learning Commons (first floor of Richter Library), and creation of a Faculty Research Commons (third floor of Richter Library).
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Administers all aspects of Access Services: Circulation Services, Interlibrary Loan/Document Delivery Services, Stacks Management, and Off-Site Storage;
- Oversees Access Services operations, including hiring, training, supervision, and evaluation of department staff [3 FTE managers, 3 supervisors/unit heads, 9 staff, and student assistants];
- Coordinates cross-functional activities among the individual units within Access Services, fosters a work environment that supports staff development, and ensures quality, efficiency, and responsiveness of user service;
- In collaboration with relevant stakeholders, develops, coordinates, and communicates access and circulation policies to patrons and library staff; handles complex patron situations with tact, discretion, and equity;
- Develops and manages systems to ensure timely delivery of print materials from off-site storage to campus libraries and specific users;
- Responsible for the integrity of the patron database, maintaining circulation parameters of the online system, and providing support/troubleshooting for the circulation module of the integrated library system in coordination with the Integrated Systems Librarian and Alma Fulfillment Group;
- Maintains knowledge of national developments and trends in all areas of access services.
- Manages departmental budget and oversees billing and collection of fines for library materials;
- Maintains, analyzes, and reports statistics on space utilization, usage of library materials, and Access Desk transactions;
- Develops and enhances new/existing user services in areas such as document delivery and electronic reserves;
- Monitors collection capacity in library facilities and works with Associate Deans to identify appropriate strategies for collection transfer, storage, and/or de-selection; works across the library system on space planning projects, in particular those involving space for library users and resources.
- Serves as liaison to Metadata & Discovery Services and other library departments in support of the maintenance of the bibliographic database; serves as liaison to the Learning Commons;
- Serves as the Libraries’ resource person for copyright compliance for interlibrary loan and course reserves.
Collaboration & Communication
- Communicates frequently and effectively with all University staff, faculty, and administrators in a timely manner regarding procedures, policies, and other necessary information;
- Maintains a helpful and supportive customer service behavior with all library customers internal and external;
- Serves as a standing member of the Departmental Representatives Group and Alma Fulfillment Group; participates in Library and University organizations, committees, task forces, and teams as appropriate;
- Networks, collaborates and actively participates in local, regional, national, or international organizations regarding issues in access services, resource sharing and document delivery, and academic librarianship;
- Represents and promotes the University of Miami Libraries in local, state-wide, regional, national, or international organizations as appropriate.
The Head of Access Services reports to the Associate Dean of Information Systems, Access & Facilities. Direct reports are the Circulation Manager, Interlibrary Loan & Reserves Manager, and the Off-Site Storage/Collections Manager.
Works on a daily basis with library faculty, teaching faculty, staff, student employees, students, and other campus units. Exercises authority, recommends and participates in decisions and actions at the organizational level.
QUALIFICATIONS (Education, Experience, Skills, Training, etc.)
- Master's degree in library science from an ALA-accredited program or equivalent;
- Three years or more professional experience in access services;
- Significant successful staff supervisory experience in a busy, team-oriented setting;
- Demonstrated success in project management, including ability to manage multiple priorities;
- Strong management, organizational, and problem-solving skills; demonstrated initiative and service commitment to library users;
- Experience with the use of technology in the delivery of access services, knowledge of trends in the field, and familiarity with current practices for copyright compliance;
- Evidence of ability to communicate effectively, judiciously, and tactfully, both orally and in writing with faculty, students, and University/Library staff;
- Ability to maintain effective working relationships with colleagues, faculty, and staff in a complex and rapidly changing environment;
- Evidence of continued professional development, involvement, and contribution.
- Experience managing/administering access services software [e.g. ILS/Circulation [Alma preferred], e-reserves [Leganto preferred] ; interlibrary loan [Illiad preferred];
- Experience with space-planning and collection management;
- Experience managing off-site storage services;
- Experience with assessment of user services.

THE DEPARTMENT: The Access Services Department is a primary point of contact for users of the University of Miami Libraries, staffing both the Central Service Zone at the Richter Library entrance and the reception desk for the Kislak Center, home of Special Collections and University Archives. As such, the department is key to the development and maintenance of a welcoming, inclusive learning environment and customer-focused circulation, interlibrary loan, course reserves, and basic information services. In addition, the Department is responsible for management of the collection stacks and off-site storage facilities with 5-day delivery, as well as maintaining building security and facilities during nights and weekends. The department is comprised of three exempt managers, twelve non-exempt staff, and one Librarian Faculty [Head]. Access Services is part of the Libraries’ Information Systems, Access & Facilities Division (Access Services, Facilities, Metadata & Discovery Services, and Library Technology). The Access Services offices are located on the 1st floor of the Richter Library with a renovation planned for Summer 2020, with additional office space at the Libraries’ off-site storage facility in Miami Lakes. Negotiations are currently underway for the lease of additional off-site storage space to accommodate our growing distinctive collections.
Salary and Benefits:
Compensation will be competitive and will be commensurate with the experience and qualifications of the person selected. Appointments at the Librarian Associate Professor rank and above are typically five-year, renewable contracts.
