General Summary of Position:

The Assistant Director of Student Affairs Business Services assists in the planning and oversight of all day to day business and administrative affairs within the division. This individual will exercise independent judgement and act on behalf of the Director of Student Affairs Financial Administration in representing the best interest of the Division of Student Affairs. This position works collaboratively with the Director and the department's leadership team.

Specific Responsibilities of the Assistant Director position include:

  • Provide ongoing consultation to division staff related to the procurement process. Provide purchasing support for department staff within the Division of Student Affairs by assisting with the processing of requisitions, purchase orders, change orders, and invoicing. Prepare all necessary vendor service contracts and or documentation for required signature to ensure compliance with the University, State business process policies, procedures and systems.
  • Provide financial information and guidance to meet the needs of 14 department heads by producing customized financial reports, cost templates, and trend analysis on a monthly, quarterly, and annual basis.
  • Analyze and monitor all revenue generation and expenditures associated with the University Campus Dining program. Serve as a liaison between Campus Dining contractor and the University's procurement department for the purchasing and repairs of equipment associated with Campus Dining Areas within the University.
  • Prepare journal entries for submission to budget office including cost transfers and procurement card re-allocation.
  • Implement and maintain third party online payment credit card system in conjunction with UMass Treasurer's Office. Oversight of daily transactions reporting and verification of these collections into the University's financial system.
  • Serve as the key person in preparation and management of various external vendor contracts.
  • Update, document, and implement all necessary business policies and accounting practices to improve the Division's efficiency and financial controls. Train, develop and provide consultation to all Division staff related to existing business processes.
  • Promote the University's commitment to customer service

Minimum Qualifications (Required):

  • Bachelors of Science Degree in Business or related field
  • 3-5 years experience in purchasing/procurement area, basic accounting and contract analysis or related area
  • Experience with Massachusetts State procurement laws for goods and services
  • Ability to collaborate and develop strong business relationships with both internal and external key stakeholders
  • Proven knowledge and ability to use PeopleSoft, Excel, and Microsoft Office Suite

Preferred Qualifications:

  • Experience in budget management and auditing, long range planning, and billing receivables and payables
  • Ability to prepare reports and maintain accurate records of all budget related materials
  • Knowledge and ability to utilize University technical systems and PC programs to monitor and administer budgetary responsibilities
  • Ability to plan, organize and complete assigned responsibilities in an efficient and thorough manner
  • Written and oral communications skills
  • Problem-solving and decision- making skills
