Operations Specialist & Consortium Coordinator

The George Mason University Office of the Registrar invites applications for an Operations Specialist and Consortium Coordinator. Responsibilities:

Customer Service:

  • Provide high quality customer service in all aspects of the position in spite of often difficult and aggressive student and faculty clientele.
  • Serve as a customer service representative of the Registrar’s Office. Provide high quality customer service in all aspects of the position. Say “yes” to customer requests as often as possible, within the bounds of university policy. Listen for the unspoken part of questions or dilemmas. Offer alternative creative solutions. Follow through in a timely manner. Be aware of record confidentiality. Follow FERPA when communicating with students, parents, and faculty.

Consortium:

  • Support Mason’s participation in consortium programs by providing students with guidance; working with deans, directors and faculty internally and with other schools; creating and coding courses; performing cross-institutional registration and grading; reconciling each semesters registration records; and acting as a liaison with Student Accounts to reconcile billing records.
  • Provide Consortium advisement services, forms, and generic information to Mason students upon request. Register students accurately and on time. Coordinate billing of Mason students with Student Accounts Office. Verify registration information reported to Consortium headquarters as basis for cross-billing. Track grades for visiting and Mason students. Resolve discrepancies and mediate student issues with counterparts at other schools. Attend Consortium meetings as requested by the Associate Registrar. Bring unique or problematic requests to the Associate Registrar’s attention. Inform the Associate Registrar of obstacles to productivity such as unusual or disproportionate student demands or unresponsive colleagues. Balance with student services to ensure productive work flow.

Cross-functional support:

Serve as a front-line Operations representative in the Office of the Registrar. Assist students, faculty and staff with detailed issues related to Registration, Records, Transcripts, and Graduation. Answer initial inquiries regarding Admissions, Certifications and Domicile.

Study Abroad Transfer Credit:

  • Responsible for processing transfer credit for study abroad and for China 1+2+1.
  • Be the primary contact for both the Center for Global Education and the China 1+2+1 offices.
  • Transfer Credit is posted to student records no more than 2 business days after documentation is received. In addition, ensure that all required documentation (including translations when necessary) is submitted.

Required Qualifications:

  • Bachelor’s degree, or an equivalent combination of education and experience; 
  • Customer service experience, especially with an assertive clientele; 
  • Excellent oral and written communication skills; 
  • Demonstrated ability to employ logic to solve problems; 
  • Demonstrated ability to process large volumes of work, while maintaining a high level of accuracy;
  • Experience with degree evaluation and/or student information system software; and
  • Detail-oriented.

Preferred Qualifications:

  • Experience with the Ellucian Banner student information system; 
  • Experience with academic programs and their requirements; 
  • Ability to thrive in a fast-paced environment with conflicting priorities;
