Stanford University's Newborn Screening Area Service Center in the Department of Pediatrics is seeking an Administrative Associate 2. Under the general supervision of the Program/Center Director, the Administrative Associate is responsible for providing general administrative support to the Center.

Duties include:

  • Provide administrative support to Program Director and the Area Service Center. Assist in preparation of documents, scanning, faxing, copying, data entry to the Center's databases.
  • Prepare correspondences for site visit as needed. Update hospital monitor log.
  • Make travel plan, arrange for car rentals ahead of site visits.
  • Serve as the point of contact for facility concerns to ensure adequate facility functions provided for ASC during the University winter closure, and other safety dills required by the building facility.
  • Assist Professional staff with CCS referrals as needed.
  • Train temporary staff to perform Admin Assoc. duties to cover for vacation as needed.

    * - Other duties may also be assigned


    DESIRED QUALIFICATIONS:

  • College education desired.
  • Knowledge of University administrative and financial procedures desired.
  • Experience in maintaining social media and website preferred.
  • Bilingual Spanish/English preferred.

    EDUCATION & EXPERIENCE (REQUIRED):

    High school diploma and three years of administrative experience, or combination of education and relevant experience.

    KNOWLEDGE, SKILLS AND ABILITIES (REQUIRED):
  • Proficient computer skills and demonstrated experience with office software and email applications.
  • Demonstrated success in following through and completing routine tasks.
  • Strong organizational skills and attention to detail.
  • Strong verbal and written communication skills.
  • Excellent customer service and interpersonal skills.
  • Ability to prioritize and multi-task.

    PHYSICAL REQUIREMENTS*:

  • Constantly perform desk-based computer tasks.
  • Frequently sitting.
  • Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.
  • Rarely twist/bend/stoop/squat, kneel/crawl.

    WORKING CONDITIONS:
  • Working hours for this position are 8am - 5pm, Monday - Friday.
  • Position will need to work during the Stanford University winter closure.
