The Director of Operations is a member of the senior management team in the Enrollment Division and is responsible for the successful day-to-day operation of the Office of Undergraduate Admissions and its counseling staff (approximately 15 staff). This position directly supervises the Senior Associate Director and 3 Associate Directors, who supervise the Senior Assistant Directors, Assistant Directors, Counselors, and Client Service Representatives. The Admissions team supports the overall enrollment goals of the Enrollment Division. This position manages all admissions-related software systems (e.g., Banner, OnBase, Technolutions - Slate, etc.) and maintains appropriate professional relationships with key internal and external stakeholders, professional associations, and vendors (e.g., Common Application, Coalition Application, NACAC, etc.).
Essential duties and responsibilities include:

  • Strategic leadership and planning. Provides strategic leadership and planning for the Office of Undergraduate Admissions. Works with the Director of Admissions and other senior staff to plan and implement various policies and procedures to improve the unique value proposition of the University of Notre Dame. Provides staff opportunities to personally engage prospective students, their families, and high school counselors.

  • Operations oversight. As a key member of the Enrollment Management Operations Committee (EMOC), the Director of Operations collaborates with senior directors (Financial Aid, Recruitment & Communications, Shared Services, Project Management, and other members of the Executive Team) to insure strategic goals are established and communicated to all members of the Enrollment Division, including software management, changes, and improvements. Creates work plans based on EMOC goals and incorporates them within the day-to-day activities of the Admissions staff, including: timelines for application decisioning, structure/process surrounding applicant review committees, communications to staff, and data generation via Slate/Tableau for informed decision making.

  • Staff management. Works with other senior staff members (Director of Admissions, Director of Recruitment and Communications, etc.) to manage and direct the office staff to maximize the University's recruitment and enrollment efforts. Directly supervises and evaluates the performance of one Senior Associate Director and three Associate Directors. Provides personal attention, care, and service to everyone who makes contact with the department and division, and provides exceptional client service to various constituencies both on and off-campus. Trains and motivates direct reports and other professional and support staff to manifest that same personal attention in their day-to-day work within the Enrollment Division. Establishes performance goals and procedures to ensure the timely completion of recruitment, review, selection, and enrollment of the first year class.

  • Liaison with other campus stakeholders. Serves as a key contact point for other campus offices that assist in recruitment activities including: the Athletics Department, the Alumni Association, OIT, the academic colleges, the Office of University Advising, and others. Generates applicant data and reports to support liaison relationships. Gives high priority to, and focuses on, data integrity, accuracy, and detail to manage, minimize, and mitigate risk.

  • Admissions recruitment and University travel. Supports enrollment goals as needed and assigned by the Director of Admissions and/or the Associate Vice President for Undergraduate Enrollment. This may include recruitment travel, interaction with prospective students, their families, and high school counselors. Evaluates admissions applications.

  • Special projects and other assignments. Manages special projects as assigned by the Director of Admissions and/or the Associate Vice President for Undergraduate Enrollment. This may include data analysis and data generation within a short time frame.

Minimum Qualifications:
  • Masters degree or Bachelor’s degree (5 years) or advanced certification beyond the Bachelor’s degree
  • Minimum of 7 years of successful employment in college admissions/enrollment.
  • Strong collaborative and leadership skills and the ability to motivate and promote professional development of staff.
  • Excellent awareness and understanding of national and global trends in college admissions/enrollment.
  • Exceptional empathy and communication skills.
  • Demonstrated mastery and expertise in admissions-related software systems, including Slate, Banner, and OnBase.
