Position Summary Information

Primary Purpose

The Assistant Director of Alumni Relations will be dedicated to strategically building and strengthening alumni communities. They will report to the Director of Alumni Relations and work closely with alumni volunteers, faculty, students, and other University colleagues to develop, implement, and evaluate activities, programs, services, and communications that reach, serve, and engage alumni. They will also manage all/part of alumni programs and initiatives, participate in strategic planning, and serve as a representative of the organization.

Essential Functions

1.Lead overall long-term planning and evaluation for reunion engagement, development, and growth, including:
• develop plans to build a pipeline of diverse alumni volunteer leaders.
• cultivate new markets.
• refresh program strategies.
• enhance engagement of alumni volunteers.

2.Oversee budgeting, forecasting, and cost negotiation for reunion events and student engagement programs.

3.Develop and manage online communication strategies that engage class year and affinity reunions, as well as students.

4.Designs and implements alumni leader training and recruiting, direct the strategy for identification, engagement, resource management, recognition, and succession planning.

5.Negotiate high level contracts with vendors and evaluates the quality of delivered products and services to identify potential enhancements or changes needed.

6.Leads and manages teams, projects and/or programs that may affect a wide audience which may include:
• reunion plans and related multi-year calendars,
• volunteer committees,
• strategic outreach materials and messaging,
• events and,
• meetings.

7.Create content in support of program goals, including writing and/or editing content for emails, e-newsletters, the Pacific Review Magazine, and social media.

8.Co-lead reunion giving efforts with the Office of Annual Giving, including identification, cultivation and stewardship of alumni donors.

9.Serve as a resource for alumni leaders and volunteers in their efforts to organize events and strengthen their communities.

10.Build and maintain relationships with campus partners, maintaining a high level of communication and service.

11.Leads strategic planning and implementation of, student and alumni events.

12.Remain competent and current through self-directed professional reading, developing professional contacts with colleagues, attending professional development courses, and attending training and/or courses.

13.Performs other duties as assigned or requested.

Minimum Qualifications

Education/Experience/Certifications:
• Bachelor’s degree or equivalent combination of education and experience.
• Minimum of two (2) years experience working with volunteers.
• Proficiency with MS Office Suite.
• Experience writing, editing, and developing promotional materials.

Preferred Qualifications

Skills/Knowledge and Expertise:
• Excellent communication skills (verbal, written and presentation) and the ability to represent the university professionally both internally and externally.
• Advanced knowledge and demonstrated experience with volunteer development, management and oversight.
• Keen sense of program development and alumni community needs.
• Strong interpersonal, team, and leadership skills; tact and flexibility in working with diverse populations.
• Ability to employ diplomacy with a high regard for building and maintaining important internal and external relationships is key.
• Ability to juggle competing priorities, interruptions, and inquiries with a high level of professionalism and tolerance for ambiguity.
• Proven decision-making skills and the ability to understand and solve complex questions.
• Exceptional organizational skills, good follow-through and time management skills; must have exceptional attention to detail, as well as to the bigger picture and objective of an event.
• Computer proficiency and the ability to learn new systems. Experience with Banner database, iModules, HTML, Adobe, and social media tools a plus.
• Positive attitude, proven ability to work successfully with diverse populations and demonstrated commitment to promote and enhance diversity and inclusion.

Physical Requirements

Work is frequently performed in typical office environment, including extended periods of sitting and repetitive hand/wrist motion while using computer keyboard and phone. Some work remotely/at event sites may require the use of laptops or mobile devices. Occasional bending, kneeling and reaching. This position organizes events and frequently transports boxes of promotional materials and media equipment. May lift up to 40 lbs.

Work Environment/Work Week/Travel
Work is frequently performed during standard business hours of 8AM – 5PM, M-F, and will also require extended hours for evening meetings on a weekly basis, as well as extended work weeks with weekend work for at least 7 weekends per year. Light travel is expected.

Valid driver’s license and personal transportation is required. Incumbent must also be able to meet the University’s fleet rules and be eligible to drive for University business. The University and its insurance carrier reserves the right to exclude applicants based on their driving record.
