DESCRIPTION

The Program in Immunology is an inter-institutional program that brings together world renowned researchers from across UC San Diego and the La Jolla Institute with a shared interest in all aspects of host immunity. It will promote a free-standing graduate program, a seminar series, an annual meeting, seed grants for collaborative research projects, and applications for postdoctoral and predoctoral training grants. It will develop alliances with other innovative programs on campus and across the Torrey Pines Mesa such as the Microbiome Initiative.

Under supervision of the Faculty Director(s), the Immunology Program Coordinator will coordinate and administer the Program in Immunology at UC San Diego. The incumbent will manage all aspects of the Program's business affairs and provide comprehensive planning and support to the team of Directors and the Steering Committee. The Coordinator will provide oversight of the Program budget, and prepare reports as needed to be delivered to Executive Vice Chancellor, the Dean of the School of Medicine, and the President of the La Jolla Institute. This position will work in partnership with administrators in the Division of Biological Sciences as appropriate.

The Coordinator will initiate and oversee branding and advertising the Program in Immunology through the creation and maintenance of a website and online, social media inspired communication. The Coordinator will also coordinate the Program Seminar Series, including reaching out to faculty for nominations, tallying preferences, and organizing visits, including making travel plans, room reservations, and scheduling meetings. The incumbent will assist the Program Directors in the creation of, and application for, a stand-alone graduate program in immunology, including all required documentation, supporting materials, and other requirements. The Coordinator will advertise the joint grants program as appropriate and coordinate the grant application and review process.

  • Overtime and weekends may be required.
QUALIFICATIONS
  • Bachelor’s Degree and two (2) years of experience working in a higher education institution; or an equivalent combination or education and experience.

  • Proven ability to analyze, research and synthesize large amounts of data with strong attention to detail. Proven ability to research, gather, and organize information to produce concise reports using databases.

  • Demonstrated working knowledge of applicable policy analysis techniques.

  • Demonstrated ability to organize events with national speakers, organizing venues, catering, equipment, etc. Demonstrated ability to make travel arrangements and process reimbursements.

  • Proven familiarity with social media and the basics of web design. Knowledge of branding and advertising strategies.

  • Demonstrated ability to compose independent correspondence, proofread letters, memos, and reports using correct rules of punctuation, grammar, and style.

  • Working knowledge of accounting and mathematical skills needed to perform calculations using percentages and decimals, and ability to recognize errors and/or discrepancies and take administrative action to correct.

  • Proficiency using the internet and web browsers with the ability to research topics and summarize findings. Successful experience working online to retrieve information and process business transactions.

  • Proven ability to enter, edit, retrieve information, recognize errors, and initiate corrections while using standard software applications, such as Word, Excel, PowerPoint, and email programs.

  • Skill and experience assessing the most efficient means of retrieving information and the skill to develop innovative approaches, techniques, and procedures to provide more efficient and responsive services. Demonstrated ability to keep accurate, orderly files and records.

  • Proven experience to recognize problems, conflicts or impact to others, research options, present alternatives, implement solutions and follow-through to assure goals are met. Skill to analyze, formulate solutions, and resolve problems in the absence of higher authorities while maintaining professional relationships.

  • Excellent communication and interpersonal skills to communicate effectively, both verbally and in writing. Ability to work efficiently as a team member and foster positive relationships with coworkers and clients.

  • High degree of professionalism and ability to exercise independent judgment in a dynamic, time-pressured environment. Ability to use discretion and maintain all confidentiality.

  • Strong ability to multi-task with demanding time frames. Ability to focus, provide updates, and effectively manage time to meet deadlines when assigned a task. Organizational skills to prioritize or plan day-to-day tasks to meet established goals within that context.
