25-Aug-2019 Close All Job SummaryThe University Exploration & Advising Center Program Coordinator reports directly to the Director of the University Exploration & Advising Center (UEAC), providing logistical support and project management for both the UEAC and the Program in Exploratory Studies (PES). The University Exploration & Advising Center Program Coordinator will be actively involved in a broad range of administrative support activities including: office management; direct support to students and families; and establishing/maintaining administrative processes related to student and staff support in the UEAC and PES. The position benefits from knowledge of advising, project/portfolio management, student development principles, as well as customer service strategies. The University Exploration & Advising Center Program Coordinator interfaces with students, families and campus partners both in-person and via relevant technology. The Program Coordinator works closely with UEAC staff, the Office of Undergraduate Education, and key colleagues in Student Affairs, the Office of the Registrar, the Office of Data Analytics, and the Office of Information Technology in support of various UEAC initiatives.Who We AreThe University Exploration & Advising Center (UEAC) is a first-year advising unit at CU Boulder designed to work with students in exploring and transitioning to a variety of academic paths. The UEAC partners with all the colleges on campus and works with students in discovering any number of interests and possible outcomes while at CU Boulder. The unit primarily serves students specifically assigned to UEAC advisors, but also offers support to various other transitioning student groups on campus. The UEAC is part of the Office of Undergraduate Education (UE), whose charge is to examine the entire undergraduate student experience, assess outcomes, identify gaps, and launch and support student-facing campus initiatives. Current key projects in UE include a focus on first-year academic programs with the development of First Year Seminars; the coordination of undergraduate academic policies; the development of a coordinated campus advising structure; and the coordination and assessment of campus retention and persistence initiatives. We are currently working on a two-year initiative, Foundations of Excellence, which is focused on optimizing the first-year experience of our undergraduates.
What Your Key Responsibilities Will BeOffice Coordination and Administrative Support
● Student and family support, including:
  • Serve as the primary point of contact for UEAC website inquiries, which typically involves conversations with prospective and newly admitted students and families.
  • Work with PES students and families in regards to policies and petitions.
  • Assist with UEAC reception area and peer advising support.
  • Manage student events:
    • Coordinating scheduling, catering, and marketing; partnering with Admissions and other key stakeholders for recruitment-related/yield events (which can potentially include some evening and weekend hours).
  • Assist with main UEAC voicemail, email, and live chat.

● Logistical/administrative support for UEAC and PES academic operations, including:
    • Provide high level budgetary, financial, and administrative support to the Director and Assistant Directors of the unit.
    • Manage student data and logistics including student groups in Campus Solutions (CU-SIS); managing advising holds, advisor assignments and related reporting; and managing major changes, as applicable.
    • Partner with the Office of the Registrar to manage logistics related to updating student records in Campus Solutions (CU-SIS) and serve as a primary contact for the Office of the Registrar.
    • Identify, develop, and maintain appropriate administrative and staff-facing processes in partnership with unit leadership.
    • Assist with the development, maintenance, coordination, and logging of PES forms and student-facing processes.
    • Manage batch enrollment for PES students.
  • Office management in the UEAC, including purchasing office supplies through:
    • Marketplace; serve as liaison for phones, parking, keys, etc; coordinate with campus HR, finance and travel support for UEAC staff; coordinate intake and onboarding for new professional and student staff; manage dedicated meeting spaces and huddle rooms and serve as the liaison to CASE Building Services.
● Potential supervision of student staff to assist with some or all of the above Project Management
  • Partner with the PES communication team and the UEAC to coordinate student-facing communication strategy, including coordinate various mass communications to students with UEAC-related content and announcements as well as communications to students regarding academic standing and other academic actions.
  • Participate actively in the development, planning, and administration of the UEAC, including coordinating and implementing special projects and initiatives.
  • Partner with the Executive Aide for Undergraduate Education on course scheduling and maintenance of FYXP and FYSM courses.
  • Assist with maintenance of UEAC and PES websites.

  • Bachelor’s degree + 1 year of related professional experience, or a completed master’s degree.
  • Experience in program/project coordination.
  • Experience with Microsoft Office and data management.
  • Relevant customer service experience and/or student-facing experience in a higher education setting.
