General Description / Primary Purpose

This position provides administrative support to the College of Education and Human Services Dean’s Office, including the Dean, Associate Dean, Directors, and/or Coordinator. This position is responsible for performing complex administrative and budgetary duties. This position establishes and maintains effective working relationships with students, faculty, staff, and the general public, and must communicate effectively with a broad audience, verbally and in writing. This person must work independently, planning, organizing, and coordinating work assignments with minimal direction. This position must be skilled at continually improving the way business is conducted by developing improved systems, processes, and procedures. This position will also oversee and coordinate College scholarships.

Essential Duties

Job Function

Administrative support to the College of Education and Human Services Dean’s Office, including the Dean, Associate Dean, Directors, and/or Coordinator; compose correspondence and other documents on a wide variety of subjects for both internal and external audiences; recommends and implements improved systems, processes, and procedures for the College in accordance with University policies; performs complex administrative projects for management; researches and compiles background data for various reports and/or special projects as needed; maintains records and files regarding department administrative activities and projects; works directly with Budget and Personnel Coordinator to reconcile accounts, enter direct pays, requisitions, P-card transactions, etc; Assists with budget and personnel actions and tasks as needed;

Manages awarding process for all COEHS Scholarships; updates scholarship application each year; works with communications and development directors to advertise scholarships; maintains database for all scholarship records; works with departments to select scholarship recipients; use data entry skills to enter awards in the scholarship management system; maintains constant contact with students to ensure all documents have been received.

Job Function

Assists with answering the telephone and provides information to inquiries received or refers to appropriate unit for action. Deals with complex queries and complaints on the telephone and in person. Transcribes minutes for College committees. Handles all other related duties as required.

High school diploma and four years of experience directly related to the job functions. Directly related college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.

Faculty Position Required QualificationsDepartmental Requirements

Preference will be given to candidates who meet the required qualifications and also have a background or experience in accounting and specifically with awarding scholarships.
