Job Description:

Pacific Oaks College is seeking a Registrar to join the Student Services department.

This is an outstanding opportunity for a professional to join a growing college as we expand our academic programs in the Schools of Education, Cultural & Family Psychology and Human Development. The College Registrar is responsible for the oversight of the administrative and operational activities of the Registrar’s Office, including the development of a strategic vision and the development and implementation of policies and procedures to facilitate the timely, accurate, efficient services to the college community.

This position is located in Pasadena and reports directly to the Dean of Student Services.

Position responsibilities include, but are not limited to:
  • Provides leadership in staff development, registration, degree progress, prior learning assessment, training, reporting, compliance and managing the College’s academic records.
  • Insures integrity of student records in accordance with FERPA regulations and Western Association of Schools and Colleges (WASC) guidelines.
  • Serves as the institution’s “power user” in the student information system.
  • Oversees the development, auditing, and publication of the annual schedule of courses for all programs in all delivery modalities.
  • Develops, revises and implements College policies and procedures.
  • Assists the College community in interpreting registration and records-related policies and understanding registration management procedures.
  • Manages the maintenance of the records-related sections of the Academic Catalog/Student Handbook.
  • Manages the transfer of credit acceptance, routing and posting process
  • Develops Academic Calendar in consultation with other academic and administrative personnel.
  • Prepares commencement program, coordinates graduation activities, and directs preparation of commencement lists.
  • Oversees annual audit of the Registrar’s Office and implementation of procedures associated with the results/process streamlining.
  • Analyzes data for administrative use in formulating policies and in preparation of on-demand reports. Directs preparation of statistical reports on educational activities for government and educational agencies
  • Develops and maintains Web portal to maximize dissemination of timely information
  • Oversees the implementation and maintenance of Pacific Oaks’ participation in the National Student Clearinghouse.
  • Participates on faculty and other internal committees and/or external professional associations.
  • Manages Registrar Office personnel and provides oversight on operational activities such as Satisfactory Academic Progress, completion of degree requirements such as contingencies, and registration.
  • Performs other duties as assigned

Position Requirements:
  • Demonstrated ability to formulate and implement relevant policy and procedures in a higher education setting.
  • Experience supervising staff at all levels
  • Knowledge of academic student record keeping in a setting of higher education.
  • Knowledge and ability with online student records and registration systems.
  • Ability to establish and maintain effective working relationships/collaborate with staff, faculty, and students, other cross-functional teams and community members courteously and tactfully.
  • Proven qualifications of leadership, accuracy, initiative, and organization.
  • Strong interpersonal, verbal and written communication skills
  • Demonstrated understanding of the application of technology to deliver Records and Registration services.
  • A proven record in working successfully with diverse populations
  • A positive attitude and ability to plan and adapt to change

Position Qualifications:
  • BA/BS required, Master's preferred
  • 5 or more years of progressively responsible experience in a comprehensive College/University Registrar’s Office.
  • Strong leadership, organizational, and decision-making skills
  • Ability and willingness to travel
  • Excellent verbal and written communication skills
  • Strong math and reasoning skills
  • Applicable certifications, licenses, or registrations preferred
  • Strong computer skills, including proficiency in CampusVue, Image Now, Microsoft Office, and Workday highly desirable
