Event Coordination:
  • Manage the preparation and execution of conferences, workshops, and other Center events.
  • Reserve rooms, prepare and distribute materials, including event flyers.
  • Arrange hotel and catering reservations as needed.
  • Prepare receipts for reimbursements.
  • Make directed changes to the Center's web page to reflect details about scheduled events.
  • Send e-mails and other announcement to Center affiliates and colleagues.
  • Provide general administrative and clerical assistance during the conference/event.
  • Make event-related travel arrangements.
  • Some events require working after 5 p.m. and on weekends.
  • Center programs that this position will manage include: the Ruth Chance Lecture Series, the Social Justice Thursday Seminar, the Practitioner-in-Residence and Scholar-in-Residence programs, the Olmos and Raven Lectures, the privilege town hall series, and the fall and spring symposia.

    Research Material Compilation and Preparation:
  • Locate, organize, and prepare legal research materials for Center-sponsored visiting scholars for their research, presentation, or teaching needs.
  • Coordinate photocopying and production of materials with copy service.
  • Distribute materials as required. Perform directed legal research, either in Law Library or using on-line legal research services (LEXIS and/or Westlaw), for Center-sponsored faculty and events.
  • Perform literature, title, and author search and cite checking.
  • Ensure conformity with Uniform System of Citation as applicable.

    Center Support:
  • Produce general communications, web content, and e-mail announcements.
  • Assist in the design and execution of Center brochures and newsletters;
  • Maintain databases;
  • Work with student organizations and the Student Alumni Network
  • Provide first response to office telephone and visitors.
  • Answer questions, and screen as appropriate.
  • Make appointments.
  • Act as liaison between students and the Center.
  • Compile information and receipts for reimbursements - including travel, dinners, special orders, etc. - in accordance with Law School's policies and procedures.
  • Photocopy materials.
  • Provide general administrative assistance to Center visiting scholars.

    Required Qualifications
  • Substantial event planning experience.
  • Outstanding oral and written communication skills.
  • Excellent interpersonal skills and ability to interact diplomatically with diverse groups and vendors.
  • Excellent computer skills, including proficiency with MS Office and Adobe Photoshop.
  • Excellent organizational skills and demonstrated ability to prioritize, exercise initiative and sound judgment while effectively executing multiple projects and meeting deadlines.
  • Strong database experience.
  • Strong attention to detail.
  • Availability to attend occasional evening or weekend events.
  • Strong customer service skills, with ability to form new relationships with ease.
  • Ability to establish and maintain effective working relationships.
  • Flexible and able to multi-task and move between diverse projects with ease.
  • Ability to lift up to 40 pounds and move or transport items as needed.

    Preferred Qualifications
  • Working knowledge of Dreamweaver, basic HTML.
  • Creativity, particularly in designing publicity materials.
  • Interest in social justice issues.

    Salary & Benefits
    This is a non-exempt, bi-weekly paid position. Hourly pay for this role is commensurate with experience within the Union negotiated range of $26.48 - $27.71 / Steps 5.0 - 7.0.

    Other Information
    This position is governed by the terms and conditions in the agreement for the Clerical & Allied Services Unit (CX) between the University of California and Teamsters Local 2010. The current bargaining agreement manual can be found at:

    This is a Limited (temporary) appointment at 100% time (40-hours per week). This appointment will start as soon as possible and will be approximately 5.5 months or 900-hours.
