Administrative Coordinator, Events and Conference Services

Position Summary
Dominican University of California is seeking an individual for an Administrative Coordinator position in Events and Conference Services. The candidate should have experience with serving as point of contact for all University scheduling needs for internal and external events and conferences. This position requires night/early morning, weekend hours, and on-call hours as determined by the Manager of Events.

Responsibilities
  • Execute basic administrative tasks; serve as a point of contact and principal liaison for the scheduling and oversight of multiple events for both internal and external clients.
  • Act as a liaison for summer conferences. Assist with logistics, scheduling, and responding to client needs under direction of the Manager of Events.
  • Coordinate and work with various departments, including Facilities Services, Registrar's office, ELS, Music and Dance, Athletics, and vendors such as campus security on campus set ups, preparation, logistics, and scheduling of internal and external events.
  • Update scheduling software to include all of the essential event information including: room assignments, layout, furniture, arrival time, event times, and room diagrams. Approve and oversee event scheduling and submissions.
  • Process all necessary departmental and financial paperwork/system entry as it relates to conferences and events. Plan and collect all event information in a timely manner.
  • Process invoices and reimbursements; write and distribute event planning meeting minutes; track RSVPs; schedule meetings; and collaborate with colleagues on department-wide initiatives.
  • Establish and maintain a Standard Operation Procedures manual, including scheduling and office procedures. Continue streamlining these process as needed for efficiency.
  • Updating and creating documents concerning protocol and scheduling under the direction of the Manager of Events.
  • Perform other duties as assigned.

Required Qualifications
  • Bachelor's degree from four-year college or university or equivalent combination of education and experience
  • Minimum of 3 years professional experience, preferably in higher education
  • Excellent written and verbal communication skills
  • Excellent time management skills and abilities
  • Strong computer skills including MS Office Suite; especially Excel
  • Strong employee customer service orientation with excellent interpersonal skills
  • Must be professional, diplomatic and able to serve a variety of constituents with equity, fairness and tact
  • High level of skill and accuracy with figures and filing
  • Data entry experience and knowledge of report generation, maintenance of desktop databases
  • Detail oriented
  • Current driver's license and satisfactory driving record required and must be maintained

Preferred Qualifications
  • Experience with scheduling software such as Ad Astra, Power Campus, etc.
