Position Summary

This professional position in the Department of Public Administration and Policy directs both the admissions process and enrolled student services for the students in the department’s degree programs. This position exercises considerable autonomy and works with very little supervision. The position coordinates and oversees decision making in all aspects of the student experience. Works directly with the Graduate School on all issues related to student admission, enrollment, academic discipline, and graduation requirements for MPA and PhD students. Supervises the work of two student-workers.

· Thorough knowledge of the University’s rules, regulations, and policies, and procedures pertaining to the MPA program and the Graduate School
· Thorough knowledge of course offerings and requirements of the MPA program
· Ability to apply original and creative thinking to develop and improve methods and procedures
· Knowledge of UGA systems and procedures for student admissions and enrollment (i.e. OASIS)
· Excellent interpersonal skills
· Knowledge and competence in computer skills, including Access, is necessary
· Ability to establish and maintain effective working relationships with students, faculty, staff of our department, and staff from other University departments.
· Ability to interpret policies and procedures and effectively communicate these to students and faculty
· Ability to plan, assign, and direct the work of other employees

Current Student Services:
· Manage the full student experience for ~200 departmental graduate students.
· Maintain physical and electronic files.
· Prepare or assist students with the preparation of forms required by the Graduate School.
· Advise enrolled students regarding program requirements, University deadlines and protocols, and Graduate School policies.
· Manage advising and registration sequence for 200 students.
· Create documents and other products to systematize the advising process.
· Train PhD student to assist with the assignment of student schedules.
· Serve in HR role to students on assistantship.
· Maintain departmental email lists.
· Prepare multiple annual reports for national, UGA, and program accreditation agencies.
· Assists students who are in academic difficulties and refers them to the appropriate resources in the department and at the Graduate School.

Admissions Services:
· Manage extremely high-volume admissions office for internationally recognized, highly competitive graduate program.
· Work with Graduate Coordinator to develop goals and objectives consistent with the strategic plan of the Department and University.
· Oversee the assembly of 400+ applications per year, across fall, spring and summer admissions cycles.
· Train and supervise admissions assistants, who do much of the day-to-day work of file assembly.
· Field inquiries on application status, financial aid, and other matriculation information.
· Track application progress and maintain physical files and extensive electronic data.
· Generate inter-office reports on demographics, attrition.
· Manage yield for incoming class.
· Help track and obtain funding opportunities for competitive applicants.
· Coordinate relay of information to incoming class.
· Help plan and execute multi-day orientation for new students.

Event Planning and Coordination:
· Plan or assist in the planning of program-related events including the New Student Orientation/Socialization, Spring Student Banquet, Pi Alpha Alpha induction ceremony, and the Graduation Reception.
· Manage budget for each event.
· Maintain database of invitees.
· Book facilities, equipment and catering.
· Arrange for transportation.
· Manage publicity.
· Recruit staff in the coordination of events with guest lists of 300+.

Special Projects:
· Calculate tuition differential and tuition return due to the department through its professional program, each semester.
· Work with faculty to create applications for new courses in the CAPA system as needed.
· Contract with Franklin College Office of Information Technology to implement the SARA advising system for students in our department.
· Research placement data for PhD graduates.
· Collect information to apply for Areas of Emphasis designation within our MPA degree.

· Schedule and coordinate MPA and PhD exams, book rooms, arrange logistics, and administer.

· Complete all associated paperwork in line with Graduate School policy.
