Executive Assistant - University Advancement

DescriptionTufts University Advancement Division (UA) has an opening for an Executive Assistant. This person will support the Senior Vice President of Advancement, Executive Director of University Advancement and other senior advancement staff. The Advancement Division is a comprehensive development and alumni relations enterprise with a staff complement of approximately 190 FTEs. UA's mission is to build strong, lifelong relationships with Tufts University's constituents, match donors' interests with the university's needs and priorities, and secure the financial resources necessary for Tufts to achieve excellence in teaching, research, and scholarship. In the fall of 2017, Tufts launched the $1.5 billion Brighter World campaign, the largest fundraising undertaking in the university's history.

The Executive Assistant will carry out complex executive administrative duties which include: managing and prioritizing a high volume of meeting requests on a very complicated, executive-level calendar; assisting the executive staff in managing and prioritizing communications with internal and external constituencies; organizing and planning logistics of meetings, retreats, and other larger events; editing, proofreading, and composing correspondence and reports; maintaining donor and gift information in the database; managing departmental budgets; participating in or leading assigned projects for the office; and organizing and planning complex and worldwide travel arrangements.

QualificationsMinimum Requirements:

  • Associate’s Degree or equivalent.
  • 3-5 years of related professional experience.
  • Superior written and oral communications skills.
  • Strong interpersonal skills.
  • Ability to work with confidential information and data.
  • Experience with databases.
  • Proficiency with Microsoft office- especially Excel and PowerPoint.
  • Experience managing budgets.
Preferred Experience:
  • Bachelor’s Degree.
  • Experience in a not-for-profit or university setting.
