Manages the Commons Office in all of its functions and related activities. Assists Commons team with residential operations and programming. Provides administrative support for Commons Dean, Commons Head, Commons Residence Director (CRD), and Commons Council.

Essential Functions:
This is a temporary position with an anticipated start date of September 9, 2019 and an end date of January 9, 2020.

In addition to participating in Commons administration meetings, team meetings and various system support meetings, the Commons Coordinator’s responsibilities include but are not limited to the following:

Maintains dorm damage system, investigates damage with residential staff and acts as liaison with Facilities Management, in conjunction with CRD as needed

Coordinates and schedules interviews for residential life staff, assists in recruitment/interview process

Assists the CRD and Dean in supervision of residential staff

Assists the CRD and Dean in planning, organizing and implementing annual Residential Life training

Assists/participates in Res Life training

Coordinates student housing and assignments in collaboration with the Residential Life Office

Records room changes and oversees room check-in/check-out procedure

Updates/Maintains Master Res Life Directories

Coordinates Orientation Welcome Centers and distributes welcome packets to incoming First students in September and in February

Supports the Summer Language Schools with housing and orientation needs

Coordinates fire safety checks, in conjunction with CRD

Maintains student files

Tracks students’ academic standing (course warnings, academic probation, academic failure, incompletes)

Processes student withdrawal/readmission letters

Supports withdrawal tracking through on-line retention management tool for the Office of Institutional Review

Processes requests for student verification letters/forms

Prepares letters as may be requested by Dean

Drafts Dean’s List/College Scholar letters each semester

Coordinates student address change in Banner system in conjunction with ITS
Runs incident reports in conjunction with Public Safety

Manages student office worker payroll in conjunction with Student Employment Office, and hires/supervises student office workers, and manages ResLife staff payroll

Sets and keeps Dean’s calendar including appointments between students and/or parents

With Commons Head, assists in planning, organizing and execution of special events at the Commons House. Coordinates Commons house calendar and all house catering requests including hiring and scheduling student servers.

Assists Commons Council with programming needs (i.e. space reservations, ordering items, working w/outside vendors)

Approves and oversees scheduling of Commons space

Helps organize, plan, execute events with Commons Team

Works with Dean, Commons Head and Council to review, monitor and track all respective budgets

Processes vouchers, journal entries, purchase orders and receipts

Reviews Procurement Card transactions where applicable

Maintains keys for Commons

Maintains Commons Web page

Coordinates and oversees the publication and distribution of the Commons newsletter
