Overview

POSITION SUMMARY: 

Under the general direction of the Executive Vice Chancellor of Finance and Administration, the Executive Director of Administration & Financial Systems is responsible for developing and implementing new systems and technology in Administration & Finance to insure compliance, analyze future needs and develop best practices, standards and procedures for the A&F technologies.  The Executive Director of Financial Systems will be expected to work with key stakeholders to understand the business impact of major projects and system related initiatives and deliverables related to Administration and Finance.  

Responsibilities

ESSENTIAL FUNCTIONS:

 

Administration and Finance Systems

 

  • Develop and implement new systems and technology in Administration &Finance. Insure compliance, analyze future needs and develop standards and procedures for Administration &Finance technology, data structures and data governance.
  • Serve as campus project manager for the original implementation and upgrades of the PeopleSoft financial and human resource modules; manage the campus resources for the projects; and represent campus business needs at the university system-wide level.
  • Collaborate with personnel at all levels of the organization to update project status as well as identify campus business needs.
  • Manage the Director of Financial Information Systems and administrative systems staff totaling 6 staff members.
  • The Executive Director of Administration &Finance Systems (Systems / Application Support / Special Projects) is responsible for managing major projects and system related initiatives and deliverables related to A&F.
  • Provide technical support to the MEVCA&F and Department / Division managers.
  • Lead/Represent Finance technical and business teams on Administration &Finance systems projects including but not limited to accounts payable, general ledger, cash management and property accounting systems.
  • Manage project deliverables and resource allocations between core and project activities.
  • Use project management tools to track and manage project deliverables.
  • Evaluate and implement new technology to automate current manual processes with the objective of increasing departmental accuracy and efficiency.
  • Collaborate with IT leaders to ensure Administration & Finance requirements are included and met in current/new applications/systems.
  • Collaborate with VCAF team leader on common project goals.
  • Responsible for maintaining core Administration &Finance Systems and Applications (Legacy and Client Server) including upgrades, system modifications, project management, testing (prepare and implement test plans) and training activities.
  • Track and measure progress and accomplishments to pre-established goals.
  • Maintain business partnerships with client departments, locations and regions to keep informed of new business initiatives.
  • Identify new business opportunities and assess future impact of new initiatives to A&F team.
  • Develop and implement system and procedural changes to eliminate manual processes and increase team productivity.
  • Ensure company adherence to policies and procedures.
  • Manage preparation of interim and year-end audit schedules systems and user documentation and the preparation of year end closing schedules (technical).
  • Promote a team environment and provide work direction and guidance including coaching, professional development, and training for the team.
  • Selected other duties and responsibilities as required

 

 

Business Intelligence & Analytics

  • Use Business Intelligence & Analytics to drive business results, monitor progress, strategic planning, and budgeting.
  • Provide leadership, coordination and problem-solving for data reporters throughout the organization.
  • Strategize and manage a business intelligence platform.
  • Engage a broad range of stakeholders, business owners and executives to build out meaningful dashboards and analytic tools; including defining business requirements to understand needs and strategize actionable insights.
  • Promote the use of dashboards as a new data visualization tool to business units as well as the executives to articulate derived insights into meaningful data stories across the organization.
  • Oversee the Informatics and Analytics various complex projects; managed and strategized on business intelligence platforms, provided project supervision to the analysts and developers, monitored progress and risks.
  • Provide leadership, coordination and problem-solving for data reporters throughout the organization.
  • Perform analysis of productivity, key performance indicator and work capacity to track performance against baseline projections and targets.
  • Collaborate with leaders and directors to generate quality and operational dashboard to track, monitor and ensure department’s targets were met.
Qualifications

REQUIRED QUALIFICATIONS:

 

  • Bachelor's degree in finance, accounting or computer sciences and at least seven (7) years progressive business/applications systems experience.
  • MBA and Certified Project Management Professional (PMP) is required.
  • Excellent interpersonal, communication, organizational and problem-solving skills
  • Experienced in management and leadership such as project management, business development, budgeting, risk management, scheduling, stakeholder management, resource management, vendor management, and request for proposal (RFP) bidding process.
Additional Information

PREFERRED QUALIFICATIONS:

 

  • Financial and accounting report writing skills experience preferred.
  • Process improvement/project management experience preferred.
