Requirements

The Outreach Coordinator is a key member of the Outreach team for English Language Programs (ELP), whose primary objectives include recruiting new applicants to the program, building ties with partner institutions and leaders in the TESOL field, involving current participants in Outreach projects, and providing engagement opportunities for alumni. The English Language Programs, funded by the U.S. Department of State, sends experienced U.S.TESOL professionals to educational institutions on short- and long-term assignments in all regions of the world. S/he supports the primary objective of promoting the program through the four key areas of Outreach: Recruitment, current participant engagement, alumni engagement, and program visibility. Reporting to the Outreach Manager, the Outreach Coordinator has additional duties that include but are not limited to:

Social Media, Digital Advertising, and Communications
  • Develops an annual social media, digital advertising, and communications strategy and implementation plan to promote the program and support the four key areas of Outreach.
  • Identifies and develops posts and stories of key interest to external audiences for digital platforms (ELP website, Facebook, Twitter, Instagram, LinkedIn).
  • Identifies and develops content on the online ELP Community of Practice (COP), ensuring content is fresh and relevant, that all user contributions are appropriate, and that participant activity is encouraged.
  • Identifies and develops content to feature in the quarterly program newsletters.
  • Identifies and develops press releases about current participants and alumni, coordinating the work of contracted writers, as needed.
  • Writes material and provides proof-reading support for outreach colleagues.
  • Designs and implements the advertising plan approved by the U.S. Department of State.

Special Events and Special Projects
  • Develops annual special events and special projects strategy and implementation plan, with a focus on nurturing alumni relations, developing institutional partnerships, and designing and implementing a 30th anniversary celebration for the English Language Specialist Program in 2020-2021.
  • Coordinates the U.S. Department of State presence at International TESOL Convention and other events as necessary (secures exhibit space, furnishings, materials, information sessions, networking events, hotel reservations for GU and DOS staff, including travel to the Convention and managing all the logistics on-site).
  • Strategizes the annual schedule at regional TESOL conferences and implements all aspects, including but not limited to, communicating with conference organizers and vendors on all event-related logistics and arrangements.
  • Prepares presentations associated with conferences and other events.
  • Analyzes effectiveness of current recruitment efforts and initiates new projects to ensure the program's recognition as the premier exchange opportunity for TESOL professionals.
  • Supports all outreach activities at the annual pre-departure orientation (PDO) for new Fellows, including presenting outreach opportunities, preparing digital materials for Fellows, organizing the resource fair and reception.
  • Coordinates and implements alumni engagement projects (such as the Alumni Ambassadors, alumni packet) and supports the creation and development of new projects.
  • Prepares the alumni packet content creation and distribution.
  • Travels to annual TESOL convention and regional conferences to promote the program, and to mid-year events to engage with current participants, as needed.

Data Collection, Analytics, and Reporting
  • Collects and curates data from all ELP activities (recruitment, vetting, implementation, outreach) and digital systems (the application and proposal portal, the COP, the website, ELP Salesforce) to support the development of the outreach strategy.
  • Identifies key measures of success and develops methods for tracking and reporting on those measures.
  • Prepares analytics and creates reports, both scheduled and ad hoc, utilizing all available systems.
  • Works closely with the Digital Projects Senior Analyst, Outreach Manager, and IT contractors on the development and maintenance of the ELP website, Salesforce, and COP.

Administrative and Other Duties
  • Follows the current Standard Operating Procedures (SOPs) for all assigned duties, and contributes to regular updates of SOPs.
  • Performs administrative tasks as needed, such as managing the COP email helpdesk, updating website pages, researching and ordering materials/swag for outreach projects.
  • Ensures that all social media, advertising, and communications are fully compliant with ECA branding and style guidelines.
  • Follows GU, CIED, and federal rules and regulations regarding use of grant funds, building and following ECA approved budgets for every project.
  • Backstops team members while they are out of the office.
  • Takes on temporary duties when team members leave their positions.
  • Participates in the onboarding and training process of new members.

Qualifications
  • Master's Degree in TESOL or related field, with a minimum of three years of experience, or Bachelor's Degree in TESOL or related field, with a minimum of five years' related experience
  • Experience with online social media platforms and/or graphic design software (Adobe suite, Canva) and/or content management systems (Wordpress, Drupal, Symfony)
  • Highly proficient skills in writing and editing for multiple media
  • Exemplary collaborative capacity with exceptionally strong organizational and time management skills
  • Ability to work in a fast-paced and changing environment
  • Ability to independently establish objectives, plan, direct, and evaluate all aspects of work projects
  • Ability to understand, synthesize, and conceptualize input and requests from multiple stakeholders
  • Outstanding interpersonal oral and written communications skills with ability to interact and communicate in a positive manner with a diverse clientele, including universities, membership organizations, program candidates, and government employees
  • Demonstrated effort to improve operations, decrease turnaround times, streamline work processes, and work cooperatively and jointly to provide quality seamless customer service;
  • Ability to travel both in the United States and internationally, as needed
  • Proficiency in Microsoft Office Suite software applications

Preferred Qualifications
  • Alumnus or alumna of the U.S. Department of State English Language Fellow or Specialist Programs
  • Experience working with federally funded exchange programs and/or educational programs
  • Experience living and working overseas
