Program Outreach Coordinator.

PRIMARY PURPOSE:

The Outreach Coordinator for the Physician Assistant Program will develop and implement outreach strategies for the recruitment of clinical preceptors as well as program admissions-related functions. Provide support to PA Program's Director of Clinical Education and to the PA Program's Director of Admissions.



Responsibilities
ESSENTIAL JOB FUNCTIONS: Clinical Outreach

  1. Responsible for developing and implementing outreach strategies for recruitment of prospective clinical rotations preceptors, in collaboration with the PA Program Director of Clinical Education.
  2. Participate in clinical preceptor recruitment efforts, which includes extensive email, phone, and in-person outreach.
  3. Schedule the Director of Clinical Education's telephone meetings and in-person site visits with prospective preceptors and assist in completing site agreement/evaluation forms.
  4. Document outreach efforts in compliance with program, institutional, and accreditation standards.
  5. Coordinate clinical preceptor credentialing processes and tracking of continuing medical education credit.
  6. Work with PA Program Clinical Coordinator to:
    1. Coordinate and schedule student clinical rotations, resolving schedule conflicts, and resolving student concerns related with their assignments.
    2. Ensure all student documents are complete in a timely manner for clinical rotations
    3. Ensure complete and timely distribution and compilation of evaluations of students, clinical faculty and clinical sites
    4. Maintain accurate clinical information database for clinical rotations sites, clinical faculty, and student assignment.
    5. Maintain the database of evaluations of students, clinical faculty and clinical sites and provide to those with need to know and utilize the information
    6. Maintain accurate affiliation agreements and commitment documents for all PA rotations per ARC-PA standards
  7. Maintain accurate and up-to-date clinical preceptor marketing materials; Establish system of annual review in coordination with the RVU Marketing Department and the PA Program Director of Clinical Education.

Admissions outreach:

  1. Participate in PA program admissions recruitment efforts, including programming and delivering content for General Information Sessions.
  2. Manage applicant database, distribute files for faculty review, pull and analyze necessary reports in accordance with PA program data requirements.
  3. Coordinate PA program interview days, including devising a system of scheduling of applicants and interviewers, in collaboration with the RVU Admissions Department and the PA Program Director of Admissions.
  4. Establish system of annual review of PA program marketing materials in coordination with RVU Marketing and Admissions departments and the PA Program Director of Admissions.
  5. Assist in annual review and update of PA program Admissions website in collaboration with the PA Program Director of Admissions and the RVU Admissions Department.
MARGINAL JOB FUNCTIONS:

    Assist administration, faculty and staff in special projects as required. Participate in community and professional outreach activities on behalf of the college and university.
Qualifications

REQUIRED KNOWLEDGE

  1. Advanced skills with Windows Microsoft Word, Excel, and Outlook and Adobe Acrobat
  2. Outstanding organizational and communication skills
  3. Ability to work with confidential material with attention to detail
  4. Ability to multi-task and problem solve innovatively
  5. Ability to work effectively in a team-based multicultural environment
  6. Demonstrate effective time management skills and ability to meet deadlines
  7. Excellent interpersonal skills
MINIMUM QUALIFICATIONS

  1. Bachelor's Degree

PREFERRED QUALIFICATIONS

  1. Experience recruiting
  2. Experience in communication and marketing
  3. Experience in medical education or healthcare
  4. Experience with scheduling systems
  5. Ability to travel.
