Administrative Support Coordinator 3 (Development Assistant)

Penn State Abington campus, located in suburban Philadelphia near Willow Grove in Montgomery County, PA, is seeking a Development Assistant (Administrative Support Coordinator) to join the Development and Alumni Relations office. This position reports directly to the Director of Development for Penn State Abington and is responsible for working with the Director on the organization and execution of fundraising programs and related activities for Penn State Abington, including support for major gift and annual fund-raising programs, development communications, alumni relations, and events. Also, manages entry of gift officer proposals, solicitations and gifts within Penn State's fundraising database system (Elucian Advance), adhering to established departmental policies and standards; maintains donor information and data integrity with this database; processes checks and gifts, produces gift receipts, gift officer travel, office purchase orders and expenses, and assists Director with management of the office budgets using Penn State budget systems; coordinates various on and off-campus special events and handles arrangements, briefing packages, travel arrangements, and RSVPs; assists in the development and production of communications to alumni, proposals, and reports; generates reports to be used to optimize portfolios of prospective donor, using Penn State's fundraising software; provides general office assistance, including, communicating with donors via phone and email; drafts correspondence, invitations, stewardship reports and special gift acknowledgement letters; manages and orders office supplies; maintains records and files; and maintains Director's calendar and schedules meetings. Typically requires an Associate's degree or higher plus three years of related experience, or an equivalent combination of education and experience. Outstanding ability to use Excel, including pivot tables, is preferred. Light local travel may be required. Excellent computer skills are also required, including fluency with MS Office programs. The successful candidate must possess exemplary interpersonal and customer service skills and demonstrate a genuine appreciation in working with diverse audiences. Outstanding organizational and communication skills, as well as the ability to work independently, is required. A willingness and ability to learn new computer software and applications is necessary. Must be able to handle confidential and sensitive information of individuals and donors with great care and discretion. This is a fixed-term appointment funded for one year from date of hire with excellent possibility of re-funding.
