Executive Director of Operations - School of Continuing Studies

The School of Continuing Studies (SCS) comprises of three locations, totaling approximately 100,000 square feet, and housing more than 140 professional administrative staff and full-time faculty members, 500 part-time adjunct faculty and serves more than 7,000 students per year (credit and non-credit). By pairing seasoned scholars and practitioners with innovative educational programming, SCS prepares you with the skills needed to succeed in today's evolving business landscape.

The Executive Director of Operations ensures that the physical environment of SCS's three locations meets the needs of its population, including ensuring that it is well functioning, cost effective, properly maintained, and safe for all its constituents. S/he oversees daily operations and facilities management of SCS, and serves as strategic facilities and operations partner to the leadership of SCS, as well as to the larger University. The incumbent manages critical business practices related to complex operations and facility management to ensure efficient and effective use of available resources.

The position liaisons with University leadership, departments and partners on all aspects related to operations (lease oversight, contract management, etc.), fiscal management related to operations and facility management, as well as security at SCS. Interacting on a daily basis with the SCS Leadership team, the Dean's Office, and SCS staff, the Executive Director of Operations leads SCS in creating and implementing operational practices that facilitate a high performance environment at SCS for staff, students and faculty.
The position is responsible for campus security and safety of the SCS Downtown facility and liaisons closely with University and school leadership on threat assessment, issues and complaints. He/she oversees security systems, contractors, the SCS Director of Security and serves as the primary liaison to GUPD and MPD. Management of security at 640 Mass Ave includes oversight of all Admiral security contractors (i.e. 5-8 staff) who work at SCS every day. The position serves are liaison to property management at 640 Massachusetts Ave NW and building engineers, and is responsible for compliance with lease requirements, as well as LEED Gold certification requirements and sustainability efforts at SCS. The position manages organizational and space planning initiatives at SCS and oversees all facilities projects (for 3 locations).

The position works closely with the Dean's Office on all communications related to operations and facility management as well as emergency management at SCS. He/she also leads organizational practices and initiatives to improve operations and implement changes to routines and systems as needed. Additionally, this position oversees the operations of the SCS Library, the Sweet Yo Cafe, the Digital Media Center, and the SCS LG Digital Broadcast Studio.
In addition to SCS's primary space at 640 Mass Ave NW, this position also manages operational support for the Liberal Studies Program in ICC on the Main Campus and the Summer Team administrative offices on M Street. The position oversees classroom/event scheduling and school wide room rental and external event support. The position has fiscal responsibility for a $7 million operational budget, and is responsible for directing and managing all costs related to operations and facility management. The largest parts of this budget include management of the 640 Mass Ave lease and contracts associated with SCS's primary location.

Work Interactions
The person in this position works closely with leadership and partners on the Main Campus: GUPD, DEMOC, OTM, Facilities, Office of the Registrar, UIS, Student Accounts, Lauinger Library and Gelardin Media Center, GoCard Office. The person in this position is the SCS liaison to property management, contractors and vendors, faculty, students and staff for operations, facility management and security.

Requirements and Qualifications
  • Master's degree
  • Ten years of progressive supervisory, administrative and management experience in complex organizational environment
  • Comprehensive facilities and real estate management experience
  • Exceptional interpersonal skills, organizational skills and managerial ability
  • Ability to interact and influence at senior level of organization and work strategically and collaboratively across functions, teams, levels and departments towards shared goals
  • Established skills in planning and managing multiple and diverse organizational needs
  • Ability to think long term and strategically while balancing competing needs
  • Demonstrated ability to provide high level of service, creativity and work ethic
  • Develop relationships and establish collaboration with partners and colleagues
  • Solid competence in managing budgeting and contracts
  • Organizational, analytical, planning and problem solving skills, well defined managerial skills, decision making and leadership skills
  • Demonstrated ability to supervise and manage large team, inspire commitment and high performance, high standard of ethics, team leader
  • Excellent written and verbal communication skills
  • Must establish and maintain effective working relationship with SCS leadership, departments and program staff and Main Campus partners (HR, Financial Affairs, Office of Compliance and Ethics, DEMOC, GUPD, UIS)
  • Proficient with Microsoft Office suite

Preferred Requirements and Qualifications
  • Proficient desktop support, audio visual systems, software solutions
  • Significant experience in building management and operations
  • experience managing large contracts with vendors
