Executive Assistant - Planning and Facilities Management

The Planning and Facilities Management (PFM) team is one made up of dedicated professionals is responsible and committed to providing the Georgetown University community services related to campus and space planning, design and construction, real estate, facility maintenance, utilities, grounds, custodial, transportation and parking. We strive to provide our clients outstanding and timely services and integrate sustainable practices into our operations. PFM is seeking an Executive Assistant with the goal to bring value to this role and join our team.

The Executive Assistant provides administrative support to Planning and Facilities Management (PFM) with primary office management responsibilities to the PFM Business Office. Duties include but are not limited to:
  • Manages or coordinates special projects.
  • Investigates inquiries, complaints and concerns, makes appropriate referrals or responses, and assures follow up on resolution of concerns and requests made of the Associate Vice President.
  • Serves in GMS financial roles as requisitioner, reviewer, buyer, expense preparer, and journal preparer.
  • Serves as primary point of contact for laundry refunds.
  • Manages office petty cash fund.
  • Schedules and arranges logistics for department employee training program.
  • Supports VP Special Assistant in his/her absence.
  • Manages Business Office web presence and contributes to the site maintenance of the department web site.
  • Coordinates staff functions for area and participates on department committees as requested.
  • Hires, trains and supervises student employees.

Qualifications
  • Bachelor's degree
  • Three to five years of progressively responsible administrative experience.
  • Must be computer literate with specific experience in MS Office applications to include word processing, spreadsheet and presentation applications.
  • Must have excellent verbal and written communication skills. Must have excellent interpersonal skills.
  • Should be able to work well independently but also function as a member of the team.
  • Must be able to handle multiple tasks simultaneously and work through interruptions.
  • Must have strong awareness and sensitivity to customer service orientation.

Preferred qualifications
  • Familiarity with a university environment
  • Familiarity with web language or ability to learn quickly to master University platform
  • Familiarity with WorkDay
  • Supervisory experience
