General Summary of Position:

The Donor Relations Assistant will assist in organizing and supporting logistics and marketing materials for Donor Relations initiatives. Reporting directly to the Stewardship Manager, the coordinator will work with the Executive Director of Alumni & Donor Relations along with the Stewardship Manager to determine strategy and priorities.

Provide Strategic Support and Coordination for Donor Relations Events:

  1. Create binders, mini profiles and other briefing needs.
  2. Assist event manager with requests for delivery of items, coordination of timelines and staffing for donor relations events.

Assist with Donor Stewardship initiatives:

  1. Assist with endowment report process:
  2. Assist in proof reading 1,000 + student thank you letters to donors of scholarships.
  3. Assist in formatting and printing faculty endowed fund reports.
  4. Follow up with students regarding thank you letters and scholarship reception.
  • Create endowment certificates and track process.
  • Create spreadsheets to assist in mail merges for reminders to fund administrators, scholarship event attendees, and other list compilation needs as they arise.
  • Create Photo Books
  • Take pictures of potential named spaces.
  • Pick up finished gifts, frames, etc…
  • Track donor recognition gifts in Advance fund raising data base.
  • Enter thank you notes into Advance database on donor records.
  • Assist Stewardship Manager in sending monthly gift reports to college Deans and Admins.

    Other event and office support:

  • Event tracking for specific donor events.
  • Assist with office email and voicemail response.
  • Cover front desk.
  • Minimum Qualifications (Required):

  • Bachelor’s degree required
  • Minimum of 1-3 years in an office setting
  • Excellent communication skills, including proof reading
  • Ability to coordinate multiple projects and work assignments from a variety of staff
  • Excellent interpersonal skills both in person and by phone, with high professionalism
  • Ability to meet frequent deadlines
  • Demonstrated knowledge of general office practices, procedures and technologies, including word processing, spreadsheets and databases (Microsoft Office)
  • Strong communication and organizational skills, attention to detail, and follow-through and the ability to manage multiple tasks in order to effectively perform duties
  • Additional Considerations:

  • Know or have the ability to learn new software
  • Willingness to work some evening and weekend hours to support University’s Programs and Events
  • Ability to exercise judgment and discretion in applying and interpreting departmental policies and procedures
  • Ability to respond to difficult situations diplomatically and represent the Division in a professional and appropriate fashion
  • Ability to relate effectively with departmental and university staff, with vendors, and with the general public
  • Proven ability to determine and accomplish short and long-term goals
  • Preferred Qualifications:

    • Alumnus/a of the university is preferred

    This is a temporary, part-time (18 hours per week), non-benefited, non-unit position.
