Associate Director, University Scholarship Programs - Student Financial Services

University Scholarship Programs (USP) manage various university scholarship programs that disburse funds totaling $20 million+ per year from 850+ endowment and current use cost centers to 1,000+ students who meet the specific donor preferences of each scholarship.

The Associate Director directs the daily operations of USP, a division of the Office of Student Financial Services (OSFS), supporting OSFS counseling services for recipients of university scholarships and their parents and assisting in recruiting and retaining a talented and diverse study body. S/he supports fundraising for university scholarships as the liaison to Office of Advancement (OA) and engages scholarship recipients in OA's donor stewardship activities. Reporting to the OSFS Associate Dean, the Associate Director has additional duties that include but are not limited to:
  • Directs annual awarding of 600+ Named GU/NHS Scholarships to eligible undergraduates, selecting the best eligible recipient(s) for each scholarship according to donor preferences and institutional policies.
  • Communicates with students and their parents about university scholarships and supports OSFS counseling services for recipients of university scholarships, training OSFS staff about USP and providing USP reference materials.
  • Directs annual awarding of 450+ Incentive Scholarships to eligible undergraduates admitted to the Main Campus and the School of Nursing & Health Studies (SNHS) in order to improve the yield on targeted populations of admitted students.
  • Communicates with students and their parents about Incentive Scholarships and the Georgetown Scholarship Program (GSP), supporting OSFS counseling services for recipients of Incentive Scholarships.
  • Budgets cost center revenues and expenses and communicates numbers to the OSFS Director of Finance and Business Services at various points during the fiscal year, tracking pledged gift payments and ensuring payments are deposited into the correct cost center(s).
  • Works with the OSFS Director of Finance and Business Services and the Main Campus Finance Office to reconcile $100 million+ in annual OSFS scholarship spending to include the funding of 1789 Scholarships.
  • Provides OA staff with information and training about the University's financial aid programs, as needed, to support scholarship fundraising and donor stewardship efforts.
  • Creates materials for financial aid fundraising campaigns to articulate the need for scholarship funding and training materials for fundraisers seeking scholarship gifts.
  • Communicates schedule, expectations, and goals, assigning regular responsibilities and varying projects as well as monitoring the quality and quantity of work.
  • Works with the OSFS Assistant Dean for Research and Planning to respond to requests for information, reporting, and budget consultation from auditors, external reporting associations, and the Main Campus Finance Office/Financial Affairs.
  • Collaborates with OA's Stewardship Unit and OSFS's GSP Unit to design and implement programs to engage scholarship recipients in donor stewardship activities and events in order to identify the best students to award scholarships donated by high-profile/high-touch donors.
  • Monitors federal, private foundation, and institutional regulations related to student scholarship programs, recommending and implementing changes in policies and procedures to stay in compliance with those regulations as appropriate.
  • As part of the senior management team of OSFS, advises the Dean and senior staff on matters related to the administration of university scholarship programs and scholarship fundraising.
  • Participates in national, regional, and local training and professional association meetings and regularly reviews professional publications to remain knowledgeable about current trends, issues, and regulatory changes in the fields of financial aid, gift-funded scholarship programs, and scholarship fundraising.

  • Bachelor's Degree
  • 3-5 years progressive management experience in student financial aid administration
  • Working knowledge of student financial aid program administration, regulations, and need analysis (FM and IM).
  • Working knowledge of financial aid and accounting software, to include student information and billing systems, financial systems, and database administration software, and their use in the management of student aid programs, scholarship funding, and financial management/reporting
  • Proficiency in Word, Excel, and Access with the ability to collect and analyze data
  • Excellent communication and organization skills and the ability to handle multiple tasks simultaneously with attention to detail
  • Ability to use independent judgment where appropriate, and commitment to continuous improvement in efficiency, accuracy, and customer service

Preferred Qualifications
  • Experience in a four-year private institution, experience in financial management/ budgeting/auditing/reconciliation, experience in fundraising support
  • Experience with Workday Georgetown Management System (GMS), Banner student information system, COGNOS reporting
