The position supports all Human Resource functions in the College of Engineering and coordinates with UGA HR, UGA Faculty Affairs, and the Equal Opportunity Office in the areas of hiring and general HR support for administrators, faculty, staff, and students.Knowledge, Skills, Abilities and/or Competencies

SUPPORT THE COLLEGE’S ADMINISTRATORS AND SCHOOL CHAIRS IN HIRING OR TERMINATION OF THEIR RESPECTIVE FACULTY OR STAFF
•Advise College hiring units on the hiring process for faculty, staff, graduate assistants, and students including assistance with current policies, approvals, postings, pre-employment background investigations, letters of offer, and UGA Orientation/Onboarding/MyBenefits system. Manage all college level UGAJobs actions including reclassifications, replacements, and new positions.
•Collaborate with schools to ensure faculty appointment process is complete and delivered to Faculty Affairs within 30 days of start date.
•Work closely with the Financial Director to provide counsel and direction for a variety of employee relations needs.
DEVELOP EFFECTIVE WORKING RELATIONSHIPS WITH ADMINISTRATIVE FINANCIAL DIRECTOR, COLLEGE’S BUSINESS OFFICE STAFF MEMBERS, IT STAFF, AND SCHOOL CHAIRS.
•Provide information to employees about recruiting, holidays, annual leave, sick leave, lunch breaks, attendance, etc.
•FMLA file management, and manage all personnel records for the college.
*Work with and notify IT Staff and Business Office Staff on setting up payroll, MyID, and building access for new employees.
RESPONSIBLE FOR PROCESSING NEW AND TERMINATED EMPLOYEE PAPERWORK THROUGH DATABASE SYSTEMS.
•Coach new employees on completion of tax forms, employment ID and I-9 verification through UGA Onboarding process within prescribed time frame of employment.
•Provide Exit Checklist and Separation Notices to Supervisors for terminating employees, notify Business Office Staff to remove terminating employees from payroll, notify IT Staff to remove terminating employees from building access and various listservs, and access to shared databases and computer drives within the college.
EMPLOYMENT AND COMPENSATION
•Advise Associate Deans and School Chairs on the hiring process, including assistance with current policies, approvals required, posting requirements, pre-employment background investigations, offer letters, and UGA
Orientation/Onboarding system. Manage all college level UGAJobs actions including employment replacements, reclassifications and new positions.
•Provide guidance to college administrators and school chairs, and work collaboratively with Human Resources and Academic Affairs on all faculty and staff salary action requests for organizational compliance, and advise college administrators and school chairs appropriately.
•Provide current and prospective employees with information regarding policies, job duties, working conditions, compensation, and opportunities for promotion.
•Provide college administrators and school chairs information on exit interviews and separation notices upon employee termination or retirement.
•Facilitate classification changes for Affordable care Act or USG compliance
PROVIDE INFORMATION ON VARIOUS UGA HR RESOURCES
*Support annual open enrollment through coordinating meetings and presenting detailed information at employee forums. Support employees with health and disability plan details and UGA processes.
•Consult with employees regarding FMLA, STD, LTD, and Shared Leave. Provide appropriate forms, ensure employment requirements are met, facilitate communication with Central HR, support FMLA filing requirements in a timely and thorough manner. Facilitate ADA discussions through Financial Director.
•Maintain proficiency and remain up-to-date on UGA policies and procedures, and federal and state laws in order to provide effective consultation to employees, supervisors, and management.
NEW EMPLOYEE HIRING PROCEDURES
•Responsible for monitoring and obtaining all new employee information such as 810#s, notify IT Staff to assist with creating MyID, enrolling in UGA sanctioned courses SecureUGA/NDAH Policy/Ethics Training.
•Contact employees prior to hiring to verify they are prepared to pay and obtain UGA parking and UGA ID card.
•Work with Financial Director on assigning office space for faculty and staff and connect new employees with IT staff to setup computer assess and IT needs to fulfill job duties.
HIRING INTERNATIONAL EMPLOYEES
•Primary contact for hiring international faculty and staff and coordination with Office of International Education regarding visa requirements.
•Work closely with the OIE on specific deadlines or forms necessary prior to hiring or during hiring process. Keep apprised through Office of International Education on current employees and their needs for payment for visas/green cards, etc.
•Assist faculty with processing visa requests for visiting scholars
SUPPORT FACULTY ON PROCESSING POSTDOC HIRES
•Advise faculty on documents required and process for approval of postdoc hires.
•Work with Office of Postdoctoral Affairs on approval for new postdoc hires.
•Advise Associate Dean for Research and Graduate Programs and School Chairs of faculty requests to hire postdocs.
SUPPORT FACULTY ON PROCESSING UNPAID VISITING RESEARCH SCHOLARS
•Advise faculty on documents required and process for approval of unpaid visiting research scholars to work in their labs.
•Work with Office of Visiting Research Scholars on approval for unpaid visiting researchers.
•Advise Associate Dean for Research and Graduate Programs and School Chairs of faculty requests for unpaid visiting research scholars.
•Identify areas of concern with policies, procedures, and expectations and work with campus units or others to design and implement training programs and/or electronic or hard copy information for college faculty and staff.
•Work with college supervisors to design and implement periodic training programs for supervisors, including importance and appropriate use of performance evaluations
•Promote opportunities for professional development for faculty and staff.
PRIMARY LIAISON BETWEEN THE COLLEGE AND UGA HUMAN RESOURCES ON GENERAL HR ISSUES
•Provide benefits counseling for employees as requested – including information on various UGA benefit choices and facilitate open enrollment meetings for the college.
•Solicit staff and directors’ annual performance evaluations
•Support College Administrators with Open Record Requests.
