Berkeley Regional Services (BRS) is comprised of six (6) Regions which provide services to specific "groupings/clusters" of schools, colleges, and organized research units (5 academic, 1 all other). This regional approach to providing administrative services is intended to improve service quality by re-establishing personal connections and to develop more local expertise.
Chemistry and Mathematical and Physical Sciences (ChaMPS) is a service region within Berkeley Regional Services, within the division of Vice Chancellor for Administration, providing reliable, high-quality integrative administrative support to faculty, academics, staff, student employees, and retirees in support of the UC Berkeley mission of teaching, research, and public service.
ChaMPS provides services in the areas of Business and Financial Services, Human Resources/ Academic Personnel Support and Research Administration (pre-award and post-award administration) for the College of Chemistry, the Division of Mathematical and Physical Sciences in the College of Letters & Science, Space Science Laboratory, and several other ORUs. Responsibilities Works with the Regional Director to set and coordinate meetings with the ChaMPS service units and staff and faculty within the ChaMPS region in order to better integrate services and facilitate a high level of communication between the service units and regional constituents.
Maintains the master planning calendar for the ChaMPS region including strategic planning sessions and regional all-hands meetings.
Keeps track of codified ChaMPS goals and objectives for continuous improvement and works with ChaMPS unit leads to update active ChaMPS service improvement projects on a regular basis.
Manage website content for ChaMPS public and intranet sites.
Manage communication relationships with departmental clients, regional staff, and Berkeley Regional Services (BRS).
Manage the region's online presence, public and internal materials, to ensure accuracy, currency, readability, and relevance.
Manage ChaMPS's list serve communications.
Advises and consults with Regional Directors and Managers regarding all aspects of communications including developing strong communications strategies that effectively deliver the desired message, policy interpretation, and problem resolution.
Organizes and coordinates process improvement and service evaluation meetings and studies involving review and update of database and website customer feedback.
Works with the ChaMPS service units to generate ideas and strategies for process improvements.
Identifies specific communications needs and develops the content and process for organizational improvements.
As needed, works with the ChaMPS Regional Director and UCB central financial services staff to ensure that the ChaMPS organizational budget is up-to-date and that all expenses are reconciled in a timely manner.
As needed, participates in budget forecasting meetings and assists the ChaMPS Regional Director with compiling and updating financial data to ensure accurate budget reporting and forecasting for the ChaMPS region.
Serves as a secondary approver as needed for ledger reconciliation activities.
Actively reviews ChaMPS internal processes and procedures for improvement and alignment with UCB operating principles.
Identifies and troubleshoots procedural inconsistencies affecting quality and speed of ChaMPS service delivery.
In collaboration with the ChaMPS Regional Director, prepares, reviews, edits and publishes important procedural updates and announcements to ChaMPS stakeholders.
Serves as a representative of the ChaMPS Regional Director at University-wide meetings on an as-needed basis.
Develops process maps to capture workflow and potential pressure points for evaluation and improvement of cross-team procedures, and updates these processes in the internal policy knowledge base.
Ensures that codified processes are documented and updated for core ChaMPS service delivery areas.
Coordinates efforts with a variety of external and internal contacts to ensure consistency of information and process transparency for all services provided by the region.
Assists with the integration of new ChaMPS staff by providing information as to essential internal database training tools.
5 years of work experience in a large academic environment as a policy analyst or equivalent.
Ability to edit content for website applications (training will be provides for the UCB website interface, as needed).
Experience in cross cultural communication skills and working with diverse communication styles.
Fluid knowledge of excel and strong understanding of financial spreadsheets and forecasting.
Strong communication and interpersonal skills to communicate effectively with all levels of staff; both verbally and in writing.
Strong skills in analyzing and synthesizing large amounts of data for preparing sound and relevant proposals and reports.
Experience prioritizing and managing fluctuating caseloads with demanding time-frames, recognizing tasks/situations that require a sense of urgency.
Ability to use discretion and maintain all confidentiality.
Bachelor's degree in related area and/or equivalent experience/training.
Advanced degree preferred.
Prior experience in an academic environment highly preferred.
Knowledge of strategic planning, research administration, academic human resources and/or administrative roles and responsibilities for a central services unit within an academic environment.
Advanced knowledge of common campus-specific and other computer application programs such as (People Soft/UCPath), ISD/fsaAtlas, ServiceNow, BearBuy, and VSPA Gateway.
Salary & Benefits
This is an exempt, monthly paid position. Annual salary is commensurate with experience.
