Under the direction of the Student Accounts and BruinCard Center Manager, the Administrative Analyst works autonomously to administer and maintain the campus central Billing and Accounts Receivable (BAR) system. This includes astute oversight of the BAR system queue for system change requests, trouble tickets, and requests for information. Incumbent works critically to meet ever-changing needs and demands of campus AR for non-student and student tuition billing. As the departmental liaison with IT Services, the incumbent utilizes the Service Now software to open and update service and system change requests. Administrative analyst is responsible for working strategically to maintain integrity of billing system while fielding department change requests. This includes but isn't limited to gathering business requirements, analyzing impact to system and associated business processes, developing project scope and establishing timeline. Determines project priority in conjunction with Student Accounts and BruinCard Center Manager. Includes creation and testing of robust test scenarios, troubleshoots issues that may arise, and prepares testing completion documentation for management approval.
Additional responsibilities include management and configuration of varying complex tuition fee assessment models yielding over one billion dollars in accounts receivable each year, administers BruinPay Plan configuration with the campus CashNet administrator, assists in collection of BAR accounts, submits journals for BAR related fees and adjustments, and other duties as assigned by the manager. Serves as departmental liaison in attending monthly student service workgroup and project planning meetings, and is a key point of contact in leading departmental initiatives which requires interfacing with key stakeholders, and presenting status updates to upper management. Builds and delivers presentations to stakeholders following implementation of large-scale system enhancements.
Counsels students, parents and staff on billing inquiries and discrepancies by providing phone, email and in-person customer service. Counsels students, parents and staff on state and federal regulations, Corporate Financial Services compliance, Business and Finance Services policies and procedures, Family Educational Rights and Privacy Act (FERPA) and other related regulations.
