The Special Events Assistant provides skilled administrative support to the Director, the Associate Director, and other team members in all aspects of departmental function in a busy, fast-paced event-planning environment. Under the supervision of the Associate Director of Special Events, the Special Events Assistant's duties that include but are not limited to:
  • Responsible for financial reconciliation, including journals, contracts and purchase orders.
  • Work closely with Accounts Payable to manage the process for P.O.'s, procards, requisitions, invoices and bill payments.
  • Serve as a liaison to alumni, faculty, and staff for event management and must be professional and polite at all times.
  • Assist the Special Events team in maintaining department calendars, communicates with various vendors and other groups regarding tracking and delivery of goods and services.
  • Provide help preparing for events and on-site on the event day.
  • Expected to work overtime hours during JD Orientation events (August), Reunion Weekend events (October) and on Commencement day (May), and other events as needed.

Qualifications
  • Bachelor's degree in accounting, other business major, or a related field
  • Preference for 1 to 2 years of relevant administrative experience
  • Preference for familiarity with an academic environment
  • Understanding of basic accounting principles, analytical judgment, competent decision-making skills, and the ability to prioritize competing demands in an office that plans hundreds of events during the academic year
  • A high degree of autonomy and self-initiative are required with the ability to work without close supervision
  • Ability to interface with the public and to maintain highly confidential information with professional discretion
