Preferred QualificationsPosition Summary

The Office/Clerical Assistant is a part time, 20 hour a week position responsible for payment requests, supplier registration, scheduling meetings, and various event planning and administrative duties.

The Office/Clerical Assistant will report directly to the Public Service Professional / Program Coordinator III

Knowledge, Skills, Abilities and/or Competencies

Takes initiative to perform tasks established by policies and procedures and performs newly assigned tasks as needed.

Outstanding human relations and leadership skills and the ability to function in a team environment.

Work independently, with minimal supervision on multiple simultaneous projects.

Professional oral and written communication skills.

Ability to use word processing, database, spreadsheet, and accounting programs.

Working knowledge of USG and UGA policies as well as state and federal laws which govern the business practices of the unit.

Working in an office environment and will require sitting for long periods of time.

Process invoices and payments;
Assist with processing payments in UGA systems for event expenses, speakers’ travel and honoraria, printing charges, monthly copier and cell phone bills, Foundation and UGARF entertainment invoices, and all other bills as needed. Assist with budget transfers for internal grants and support to departments. Work with vendors and speakers to add them to new One Source suppliers system. Submit purchase requests for supplies in UGA Mart.

Provide general office support including answering main line, distributing mail, managing inventory with Office of Research, submitting Telephone Services and IT requests, and submitting FMD work orders for the house. Provide support to Senior Associate Director with grant administration and to the Communications Director with large mailings as needed.

Schedule event space through Campus Reservations and other on and off campus channels. Assist with events as needed.
