Job Purpose

The Serials Receiving and Maintenance Specialist reports to the Serials Receiving Operations Manager to support accurate, efficient, and timely receipt of print and digital serials in various languages. The incumbent is responsible for setting up serials control records, receiving and claiming issues, identifying format changes from print to digital, and ensuring that bibliographic and holdings data are accurately represented in the library discovery environment. The position also involves working closely with external service providers, including foreign and domestic vendors, publishers, and content providers.

Core Duties

  • Receives incoming serials materials and sets up serial control records in local system following established written procedures.
  • Investigates and resolves complex receipt problems and maintains serial bibliographic records, holdings data, and serial control records.
  • Performs reconciliation for title changes, including updating serial control records and moving order records.
  • Searches and loads records into local system or creates brief records in MARC format.
  • Makes necessary updates in the serial control record, using in-depth knowledge of serial publication patterns, functions of the serial control module, and standards of the MARC holdings record.
  • Claims missing issues and evaluates responses from suppliers to determine appropriate action.
  • Evaluates and resolves associated bibliographic and complex holdings problems for transfer of serials to off-site storage.
  • Works closely with Metadata serials cataloger and other Acquisitions Units, Data Control, and Branch Serials staff.
  • Provides analysis of publisher title lists for online activation and link resolver/knowledgebase management.
  • Trains new staff and assists in training when new functions are added to serial control module.
  • Trouble-shoots all functions of the serial control module.
  • Performs other duties as assigned according to operational need.
    Minimum Education and Experience Required:

  • Two-year college degree plus 2 or more years of experience in an academic library, or equivalent combination of education and relevant experience.

    Minimum Knowledge, Skills, and Abilities Required:

  • Demonstrated interpersonal and organizational skills.
  • Demonstrated ability to perform detailed tasks accurately and efficiently.
  • Demonstrated ability to apply judgment in choosing procedures and evaluating alternatives.
  • Demonstrated experience in using judgment and initiative to analyze and recommend new procedures
  • Ability to communicate library policy.
  • Knowledge of Library of Congress call number system.
  • Proficiency using computer applications (email, Internet, Microsoft Word, Microsoft Excel).
  • Demonstrated ability to adapt to changing needs.

    Other Relevant Knowledge, Skills, and Abilities May Include:

  • Reading and writing knowledge of at least one foreign language represented in the following regions: Western Europe, Latin America, Eastern Europe and Baltic States, Russia and Eurasia, Israel, or South Asia (esp. Urdu)
  • Demonstrated experience using an integrated library system; working knowledge of Sirsi/Dynix Symphony.
  • Experience in an academic library.
  • Demonstrated ability to effectively search bibliographic utilities (OCLC).
  • Demonstrated ability to apply a wide and diverse knowledge base of acquisitions policies, evaluate alternatives, and choose effective, timely solutions in situations not thoroughly documented by procedures.

    Physical Requirements:

  • Ability to push a cart weighing up to 650 lbs. that requires an initial push force up to 70 lbs
  • Ability to work in an environment that is dusty and or moldy
  • Ability to lift books that are up to 10 pounds
  • Ability to kneel and reach
  • Must be able to stand for many hours
