Position Summary

The Administrative Assistant I position supports the Office of the Registrar, GSSW. The main responsibilities include, registration and academic support, records maintenance, data entry and back up frontline assistance. In order to be successful in this role a thorough understanding of policies and procedures is expected. They must be able to operate independently, provide exceptional customer service and demonstrate a high level of professionalism. This position reports to the GSSW Registrar.

This is a non-benefited position not to exceed 1,000 hours in a calendar year.

Essential Functions

  • Registration Support
  • Provide basic registration assistance to students, faculty and staff using databases and policy knowledge
  • Provide support for student information sessions, including photocopying, room reservation, intake, etc.
  • Academic Support
  • Answer basic questions from faculty and liaisons (e.g. grade entry, rosters, resources, etc.)
  • Answer basic questions from students (e.g. schedule, degree audit, advisor assignment, resources, etc.)
  • Run basic reports as needed
  • Create classroom schedule signs
  • Mange schedule information posted at front desk
  • Assist with calendar updates as needed
  • Record Maintenance
  • Oversee filing, scanning and manage records room
  • Maintain electronic syllabus archive
  • Data Entry
  • Data entry projects fall under categories above and are dictated by the academic calendar
  • Backup Frontline
  • Help monitor Registrar Office emails and phone lines.
  • Provide solutions based on policy, procedures, calendars, etc.
  • Support the Office of the Registrar during high volume times (e.g. registration periods, graduation, etc.)
  • This position may supervise student employees
  • Special projects and other duties as assigned
  • Knowledge, Skills and Abilities

    • Ability to quickly develop understanding of an organization, departments, policies and procedures
    • Ability to learn new technologies and databases
    • Demonstrated computer skills and proficiency with MS Office Suite
    • Acute attention to detail
    • Excellent organizational skills and ability to handle multiple projects at once
    • Excellent time management skills
    • Ability to work independently and as a team to meet common goals
    • Ability to use critical and analytical thinking when troubleshooting
    • Strong written and interpersonal communication skills, including customer service
    • Demonstrated commitment, knowledge and ability to effectively engage individuals from diverse communities

    Required Qualifications

    • High School diploma or GED.
    • 2 or more years of demonstrated experience in an administrative role or office setting.

    Preferred Qualifications

    • Bachelor's degree or some college experience
    • Experience using Banner or similar centralized data information systems to look-up and provide information.
    • Experience working in a higher education environment.
    • Knowledge of FERPA and maintaining confidentiality.

    Working Environment

    1. Willing to work in a shared office environment
    2. Ability to work with moderate noise levels and interruptions

    Physical Activities

    • Ability to sit in front of a computer for an extended period of time
    • Ability to move about the office/campus with the capability of transporting objects up to 20 lbs.

    Work Schedule

    Part-Time, varies. Evenings and weekends as required.
