Overview

Campus Venue Services, a division of University Services, provides a broad range of event, performance, and venue support services for the Princeton University community. The Venue Services unit provides facility and event management for mixed-use spaces, including Frist Campus Center, Julis Romo Rabinowitz and Louis A. Simpson International Building, the Lewis Arts complex, East Pyne, 701 Carnegie, and Overlook; supporting tenants, event presenters, users, and guests.

 

The Venue Associate provides a broad range of venue management services in the East Pyne facility. Working in support of the Frist Venue Manager and in collaboration with a cross-departmental service team, the Venue Associate serves as the operational lead for event and facility support for the East Pyne facility. The Venue Associate provides advance logistical services and day-of event support for events in managed spaces. The Venue Associate maintains a high profile in the venue, managing daily operations, coordinating facility needs, communicating with tenants, and overseeing the user experience.

 

The Venue Associate oversees the daily operations and maintains a high profile in the venue. In collaboration with Instructional Support Services, the Associate provides basic A/V troubleshooting for events and classes. The Venue Associate aids visitors and ensures that they are not disruptive to the academic and administrative functions in the facility. The Venue Associate maintains a safe venue environment and helps facilitate and communicate emergency procedures.

 

The Venue Associate supports events in the East Pyne public spaces, including the Chancellor Green Rotunda, three classrooms, and the Upper and Lower Hyphens. The Associate meets with presenters in advance to develop event logistical plans. The Associate coordinates event needs, including building access, space and seating setups, technical needs, deliveries, and guest services, with teams from Facilities, OIT, Public Safety, and University Services. The Associate manages deliveries and coordinates space setup schedules. On the day of the event, the Associate ensures that the setup and services meet the needs of the event presenters and troubleshoots any issues. The Associate is responsible for setting up basic audio systems, including lecterns and small A/V systems. When additional technical support is needed, the Associate coordinates support with other units, including Instructional Support Services.

 

The Venue Associate manages a team of approximately 10 student workers who maintains a presence in the operations office, provides guest and visitor services, receives and directs deliveries, and provides basic technical support. The Associate reinforces the student training that all Campus Venue Services (CVS) student workers receive by mentoring and providing feedback to students who work in East Pyne. The Venue Associate holds regular meetings with the student staff.

 

Working in concert with a cross-departmental service team, the Venue Associate fosters excellent relationships with the academic departments housed in the facility, ensuring the needs of the supported groups, users, and guests are met. The Associate works closely with the departmental managers, communicating event schedules and facility notifications and updates. With high visibility and a proactive approach, the Venue Associate is readily available to address the needs of users of the facility. The Associate is often managing multiple demands, within a time sensitive and active event environment.

 

The Venue Associate must provide a high level of diplomacy, discretion, and professionalism in the interaction, communication, and support of multiple presenters, stakeholders, campus partners, and cross-departmental service providers.

Responsibilities

 - Oversight of daily operations of the facility

  • Manages daily operations
  • Maintains a presence in the operations office and supported spaces
  • Coordinates with the Frist Venue Manager and the cross-departmental service team on supporting building needs
  • Provides on-site troubleshooting of A/V
  • Provides visitor and guest services

- Event support

  • Assists with logistical planning of events, including event development with event presenters and managers, scheduling assistance, room configuration diagrams, and coordination of services
  • Submits work orders or equipment orders in conjunction with scheduled events
  • Sets up and operates CVS equipment, podium, speakers, signage, chairs, tables, easels
  • Receives event deliveries, including catering, food, equipment
  • Final inspection of site on day of event
  • Provides on-site support during most events and/or is available for assistance

- Supervision of student workers

  • Provides daily supervision of student workers
  • Schedules appropriate student coverage to maintain presence in the building
  • Manages daily task list
  • Trains students on building specific equipment and operations
  • Monitors student schedules for time collection
  • Hosts quarterly meetings with student workers to convey all necessary information concerning their work

- Communications to departments and service team

  • Holds monthly venue meetings with department managers
  • Develops and maintains working relationships with building tenants, campus partners, and cross-departmental service teams
  • Sends out weekly event reports to tenants
  • Advises tenants of special events, important maintenance updates or occurrences that have a larger effect on the building

- Other duties as assigned including, but not limited to, Opening Exercises, Reunions, and Commencement support.

 

The principal duties and responsibilities of the Venue Associate include the ability to be flexible and adaptive to changing needs, ability to work autonomously and with initiative, and be adept at problem solving. The Associate must interact effectively with individuals at all levels within and outside the University, and possess the judgment and discretion needed to handle confidential information.

Qualifications

ESSENTIAL QUALIFICATIONS:

  • High School diploma and three years of experience in relevant work
  • Demonstrated experience in providing excellent customer service
  • Ability to work collaboratively in a diverse environment
  • Ability to lift 50 pounds
  • Ability to work second shift hours – typically 3pm-11pm or 4pm-midnight
  • Ability to work weekdays and weekends
  • Ability to work with a flexible schedule, including the ability to work early mornings, late nights, weekends, holidays, and long hours
  • Ability to manage staff

 PREFERRED QUALIFICATIONS:

  • Management experience; preferably ability to manage student workers
  • Associate’s Degree and/or equivalent work experience
  • Experience and working knowledge of academic settings
  • Event management experience
  • Ability to setup, operate, and troubleshoot audio/video equipment
  • Ability to work diplomatically with multiple stakeholders, supervisors and campus partners
  • Proficient computer skills
