Overview

Princeton's Office of the Dean of the Faculty (DOF) has administrative oversight of academic departments and programs and all matters pertaining to the effectiveness and well-being of the faculty and the professional researchers, specialists and librarians. The DOF focus extends to the areas of recruitment, appointments and advancements, teaching initiatives, honors and prizes, discipline, and other policies and procedures that concern the quality and welfare of the faculty and academic professionals that it appoints. It works closely with department chairs, program directors, department managers, and other administrative offices.

We seek a Data Management support staff member who will become a member of our Data Management Group (DMG). The incumbent will be responsible for day to day processing of OnBase electronic files submitted by academic departments to the Office of the Dean of the Faculty, including importing, classifying, and updating personnel files for faculty and academic professionals. S/he will assist in creating appointment letters and other communications regarding personnel actions, and audit office files for thoroughness and efficiency. The incumbent will work with PeopleSoft HCM and other University enterprise systems, help maintain the DOF website, and provide additional project support as needed.

 

This is a two-year term position.

Responsibilities
  • Triage incoming personnel actions and assign to appropriate DOF staff member.
  • Communicate and escalate issues and risks in a timely manner.
  • Perform data entry in PeopleSoft HCM and other enterprise systems.
  • Assist in the preparation of appointment letters.
  • Assist in the preparation of materials for Board of Trustee meetings.
  • Make updates to DOF website content.
  • Support for special projects, as required.
Qualifications
  • At least two years of data management experience or the equivalent is required, preferably with PeopleSoft HRMS, including data entry, auditing, and maintenance of records.
  • Some college level education preferred.
  • The successful candidate for this position must be able to communicate with diverse constituencies in a productive manner, meet deadlines, and prioritize competing demands. The Data Management Specialist must be able to work with absolute discretion and tact in handling highly confidential information.
  • Well-developed abilities in using Microsoft Office (Word, Excel, Access).
  • Experience with OnBase preferred.
  • Ability to quickly learn and adopt new software and adapt to new business processes.
  • Must be proficient in use of email, have well-developed verbal, written, and interpersonal skills; excellent attention to detail and strong organizational skills; ability to set and handle multiple priorities and work well with a diverse group of people, including both faculty and staff.
  • Ability to work independently.
