Job description

This is an extremely high visibility position, working in the Undergraduate Student Services Center in the College of Engineering and Applied Sciences. The position also requires a high degree of accountability and responsibility to advise our engineering and technology student populations. Daily work involves handling information that is often sensitive and confidential in nature: therefore; discretion is of critical importance. The individual will be expected to exercise sound judgment as it relates to dealing with students, faculty, staff, administrative personnel, parents and representatives of outside organizations. This person must be a resourceful and disciplined individual, dedicated to the mission, goals, and objectives of higher education as represented by UC, CEAS and the Center.

The advisors performance will be assessed by the Director of Advising by means of observation of advising, student feedback, staff, faculty, and members of the University community.

Under general supervision from a designated administrator, the advisor will advise current and prospective students on how to meet their educational and career goals. This will be done through the best advising practices in the field.

    Evaluate and know processes and procedures for admissions and graduation records, assess and approve advanced standings, substitute courses and the use of courses to meet graduation requirements

    Recommend actions related to probation, suspension and dismissal of students. Assist marginal students in determining appropriate course loads and paths towards success. Support and direct at risk students via contracts and frequent advising appointments for probation and alert situations

    Attend all advising, program, college, and university related meetings, professional development, and functions

    Assigned related work; ensure proper workflow of the unit; act as lead program liaison and college representative. Advisors attend faculty meetings and stand as liaisons between the Center and the undergraduate programs we serve

    Manage Blackboard sites for all undergraduate CEAS programs communities as well as regularly scheduled student communications

    Document academic progress for registrar’s office for all CEAS athletes twice a semester for NCAA eligibility purposes

    Veteran’s Certification for all CEAS undergraduate students utilizing VA benefits

    Study abroad certification for all participating CEAS undergraduate students

    Graduation certification for all assigned undergraduate CEAS students as well as communicating any academic issues precluding any degree certification

    Triage and respond to all phone calls and emails in a 48 hour business day turnaround

    Help organize and coordinate all assigned CEAS undergraduate Learning Community course configurations

    Track enrollment for undergraduate CEAS courses offered to determine need for more seats and sections

    Advise the CEAS Honors undergrad population as well as coordinate efforts within CEAS and with UC’s Honors department

    Guide students through course selection and registration as well as assisting in any course substitutions and petitions

    Provide information regarding program/course criteria

    Monitor academic progress through program every semester

    Provide co-op information, approvals, and processes

    Provide referrals for academic support services for students

    Working with the International Student Services office in regards to processing of records and granting advanced standing to our international student population. Assist in pre-registration for our new international students.

    Academic and extracurricular and career opportunities for students in addition to their degrees

    Provide and communicate commencement information as well as periodically volunteer to assist with the event in regards to check-in, lining up and grooming, and working with student/faculty marshals

    Provide information on Add/Drop procedures, consequences, and deadlines

    Enforce and provide class permissions/class drop Permissions

    Track and provide information on course pre-requisite information

    Provide and advise on Grade Replacement information

    Provide scholarship information and opportunities

    Inform on and abide by FERPA regulations

    Application of AP, CCP, or transfer advanced standing towards degree

    Degree Audit demonstration and usage by the advisor in regards to correct curriculum and maintaining exceptions

    Inform upon calendar important dates and deadlines

    Be a sounding board for students in medical, mental, and emotional distress and be knowledgeable of resources and referrals for these students

    Utilize a student-centered lens and approach in decision-making and a high level of service orientation with all constituencies

    Actively participate as a constructive, outcomes-oriented member of the team.

    Prioritize projects and manage time as aligned with the critical priorities of the job.

    Communicate effectively and professionally with respectful, inclusive, and supportive interactions

    Seek feedback and respond appropriately to supervisory coaching and staff expectations.

    Manage conflict appropriately. Contribute positively to healthy team dynamics with peers and colleagues.

    International travel (currently to China) will be expected several times per year

    Interface with international colleagues for transfer and application of academic records.

    Perform related duties based on departmental and/or college needs.

Minimum Qualifications: Bachelor's degree and two years experience; -OR- Associate's degree and three (3) years experience; -OR- five (5) years experience. Professional experience must be directly related to college students or a related field in higher education. Excellent verbal and written communication skills to advise the diverse and varied student population.
