Description

The Administrator at theLewis Katz School of Medicine’s Thoracic Medicine and Surgery Department willreport to the Senior Administrator and will play a key role in supporting themission statement of the department. The incumbent will work alongside thefaculty investigators and staff, to ensure timely receipt of and proper fiscalstewardship for sponsored and university funds. In addition, the Administratorwill contribute to key departmental decisions by providing information andtools to faculty and the Senior Administrator; review, analyze and monitorexpenditures for compliance to university and sponsor guidelines; and willensure that standard regulatory approvals including IRB, IACUC, IBC, EHRS, COIare maintained. 


Responsibilities including: processing, approving and monitoring orders andinvoices in TU MarketPlace; monitoring and reconciling P-Card purchases;maintaining regulatory compliance databases and ensuring that regulatorypaperwork and renewals are current; collaborating with senior management toreview monthly financial performance, and contribute to annual operatingbudgets; managing all post award functions for assigned grant portfolio;sharing and reviewing post award financial data and reports with theinvestigators; performing journal entry transfers in compliance with agency andinstitutional guidelines; compiling and preparing non-scientific grantapplications and coordinating information and meetings between subawardees andTemple faculty; maintaining fiduciary responsibility for assigned investigators’14 and 16 accounts; assisting assigned investigators with human resourcesfunctions, and ensuring that employees are informed about HR and departmentpolicies; supervising staff and work study students; attending departmental andschool level meetings with respect to the funding of the department, and fiscalyear budgeting; reviewing relevant funder communications to maintain currentworking knowledge of guidelines and regulations, and informing investigators ofchanges in procedures and policies; preparing and submitting grant and subawardprogress reports; maintaining a database of all equipment within thedepartment, and negotiating and maintaining all service contract agreements.Performs other duties as assigned.


Required Education and Experience: 
Bachelor’s degree and at least six years of related administration experience.An equivalent combination of education and experience may be considered.

*Demonstrated computer skills, and proficiency with database and spreadsheetsoftware programs. 
*Demonstrated financial analysis skills, and ability to manage large datasets. 
*Demonstrated ability to create and manage budgets. 
*Demonstrated ability to manage pre- and post-award functions.
*Exceptional verbal and written communication skills, including report writingskills.
*Strong interpersonal skills, along with the ability to interact effectivelywith a diverse constituent population.
*Demonstrated leadership, management, and decision-making skills. 
*Demonstrated ability to innovate and collaborate regarding researchinitiatives. 
*Demonstrated organizational and prioritization skills, along with the abilityto be detail-oriented. 
*Ability to execute decisions with a sense of urgency, and work under pressureto meet deadlines.
*Demonstrated ability to handle challenging situations with professionalism andtact.

Preferred: 
*Master’s degree. 
*CRA.
*Knowledge of Temple University’s electronic administration systems (Banner,Taleo, TU Marketplace, Concur, Kronos).
