Clark University’s Facilities Management department seeks to fill the position of Assistant Director, Facilities Business Services. The Assistant Director, Facilities Business Services reports to the Director of Facilities Management and is responsible for overseeing departmental business processes including: finance, budget, human resources, work/service coordination, auxiliary commercial/residential rentals, University Mail Services and Facilities Management technology systems.

The Assistant Director is a member of the Facilities Management (FM) leadership team and serves as a key collaborator with other University departments.

Duties and Responsibilities

•Prepare and process purchase orders, requisitions, invoices, journal entries and requests for payment.

•Research, prepare, update and present monthly and annual operating & capital budget submissions.

•Manage interdepartmental billing.

•Develop and maintain electronic records/files, as well as provide regular reports and analysis on financial aspects of all Facilities Management work, including: purchasing, requisitions, work orders, departmental labor, capital projects, rental property accounts and utilities.

•Manage all aspects of Clark University’s residential and commercial properties including: vendor management, budgeting, leases, tenant relations, collections, advertising, inspections, turnover, maintenance and improvements.

•Approve timecard, e-procurement and credit card transactions.

•Oversee daily operations of the Facilities Customer Service Center including: administer the Computerized Maintenance Management System, telephone & walk-in customer response, radio dispatch and data entry/reporting.

•Develop, implement, and maintain processes and procedures in compliance with the Chief University Business Officer that effectively meet Facilities Management operations and workflow.

•Oversee University Mail Services including processing student mail and packages, interoffice delivery and associated services.

•In collaboration with the Office of Human Resources, maintain up to date employee records; draft, edit and maintain the Facilities Management Handbook and associated policies, procedures and memos.

•Maintain and update department website.

•Directly supervise Mail Services Supervisor (who supervises one fulltime staff member), two Facilities Operations Coordinators and student employees.

•Other duties as assigned.

Qualifications

•Bachelor’s degree is required preferably in a business management or systems related field.

•Minimum of 5-7 years of overall professional experience; ideally 4+ years of broad financial and/or operations management experience.

•The ideal candidate has experience of final responsibility for the quality and content of all financial data, reporting and audit coordination for either a department or significant program area, and has preferably overseen a human resources function previously.

•Demonstrated experience using and administering web based and computerized systems including the ability to manage relationships with software and other service vendors.

•Knowledge of asset management software and 4 to 5 years’ experience with ERP accounting systems such as Banner

•Keen analytic, organization and problem solving skills, which support and enable sound decision making and the ability to successfully manage multiple tasks, projects and initiatives.

•As an “essential employee”, ability to respond and/or manage response to facility emergencies, University closings and special events on nights, weekends and holidays.
