The Ophthalmology Department at Stanford University is seeking a Finance Associate focused on post-award grants management to join the administrative team and support the department in a variety of financial functions involving fiscal interpretation and analysis, reconciliations, reviews of multiple accounts and transactions, and budget analysis.


The Finance Associate will work under the supervision of the department Research Administrator, primarily focused on maintaining and managing post-award grant funds. Recurring responsibilities will include transactional reviews of expenses charged to sponsored projects, including audit report and invoice reviews. The Associate will routinely adhere to sponsored project policy and procedures to determine allowable transactions against sponsored projects. Additional responsibilities include preparation of financial management reports of assigned research accounts as well as supporting annual operating budgeting development and analysis.


The successful candidate will be able to demonstrate effective interpersonal skills and financial data acumen to support principal investigators in the department.

Duties include:

  • Review, process, gather, and compile accounting transactions and documents for completeness, accuracy, and compliance.
  • Analyze accounting transactions and information to summarize current financial position(s) at the project up to the department level.
  • Monitor transaction in accounting systems for clearing and outstanding items.
  • Capture, track, and report revenue and expenses; determine appropriate procedures for accounting record preparation, research of transactions and reporting.
  • Resolve transactional inquiries, escalate broader issues.
  • Respond to transactional inquiries from client groups.
  • May be responsible for p-card administration, processing, travel cards and expendable reimbursements.
  • May establish accounts in financial systems; prepare invoices.
  • Participate in new initiatives, as needed such as user testing.
  • Maintain accounting/finance departmental files and procedures and process documents for area of responsibility.
  • Ensure compliance with University policies, and federal regulations and requirements.

    DESIRED QUALIFICATIONS:
  • Bachelor's degree + 2 years' experience
  • Work experience in healthcare and/or Higher Education
  • Detail oriented
  • Able to produce work accurately and efficiently
  • Work with minimal supervision, independent and critical thinker

    EDUCATION & EXPERIENCE (REQUIRED):

    Associate degree or equivalent and two years' work experience in an office setting.

    KNOWLEDGE, SKILLS AND ABILITIES (REQUIRED):
    • Knowledge of basic accounting procedures.
    • Ability to operate computerized office applications and accounting systems: Microsoft Excel and Word a MUST
    • Ability to clearly and effectively communicate information to internal audiences and client groups



    PHYSICAL REQUIREMENTS*:
    • Constantly perform desk-based computer tasks.
    • Frequently sit, sort, file paperwork or parts, grasp lightly, and use fine manipulation, lift, carry, push and pull objects that weigh 10 pounds or less.
    • Occasionally write by hand, twist, bend, stoop and squat.
    • Rarely stand, walk, reach or work above shoulders and use a telephone.
