The Department of Education at Eastern Washington University invites applications for an Office Assistant 3 position. This position is 100% time, and will work 12 months each year.

This position will serve as the primary clerical support for the Department and will independently perform a variety of complex clerical projects and assignments such as establishing and maintaining recordkeeping/filing systems and/or data base files; preparing reports; preparing, reviewing, verifying and processing documents and records; composing correspondence such as transmittals and responses to frequent requests for information; and responding to inquiries requiring substantive knowledge of office/departmental policies and procedures. Position reports to the Department Chair, but will provide support as needed to Department staff and faculty.

This position requires a mastery of multi-tasking, and the ability to coordinate and track data, documents and events for multiple people and purposes. Exemplary candidates will be capable of navigating a dynamic environment utilizing organization and efficiency. Individual hired for the position will be responsible for independently planning, organizing, and prioritizing work of the position to meet internal and external deadlines. Position will be responsible for initiating action to ensure individual and department tasks and goals are met.

Position reports to the Department Chair, but will provide support as needed to Departmental staff and faculty.

Required Qualifications:
  • High School Graduation or equivalent;
  • At least two years of full time clerical work experience involving all of the following:
    • Assignments and projects of a complex nature
    • Independent performance of complex clerical assignments
    • Assignments require substantive knowledge of a variety of regulations, rules, policies, procedures, processes, materials, and/or equipment.
  • Work experience demonstrating the following: initiative, organizational skills, ability to multi-task, meet deadlines, and work with great attention to detail, accuracy, and confidentiality.
  • Strong computer skills, including all of the following:
    • MS Office - Ability to perform complex tasks such as merge fields, design tables, create spreadsheets to develop and maintain records;
    • Database management - Ability to create new databases, enter data, sort, import/export files in database, create reports;
    • Overall knowledge - Intermediate skills with the ability to troubleshoot own workstation and to train others on software;
    • Ability to navigate various screens to gather information;
    • Email - Ability to send messages to multiple recipients, make contact lists, send attachments;
    • Internet - Ability to efficiently search and retrieve information;
    • Ability to assist others with computer problems - email, internet, word processing and other basic hardware and software issues as requested; and
    • Ability to learn website maintenance.
  • Demonstrated ability to apply a culturally responsive and flexible approach that is supportive to the diverse needs, including universal accessibility, of our students, faculty, staff and the public.


Preferred Qualifications:
  • Additional years of complex clerical experience.
  • Experience with very large complex data information systems (more than 10,000 records), such as Banner and EDIE (Education Data and Information Environment)
  • Experience in higher education, either work or education.


Other Skills and Abilities:

Knowledge of: basic knowledge of modern office practices, methods and procedures; English grammar, vocabulary, spelling and punctuation; basic arithmetic; the use of electronic information equipment.

Ability to: learn routine office tasks; demonstrate reliability and a desire to learn new skills; understand and carry out oral and written instructions, and remember instructions for future assignments; understand procedures, manuals, policies and guidelines; exercise sound judgment when initiating processes, actions, and alternatives within established procedures, policy, and department practice; ability to learn general goals and purpose of departmental services and operations; establish and maintain harmonious work relationships with co-workers and the general public; communicate effectively verbally and in writing; learn and perform assigned clerical tasks and routines; maintain confidentiality of restricted information; enter data accurately.
