Job Description

POSITION TITLE:SECRETARY CPTECH-SECY01
STATUS:Part Time
DEPARTMENT:Technical
DIVISION:Academic Affairs
CLASSIFICATION: Non-exempt
UNION:Non-union
REPORTS TO:Department Chairperson.
PLACEMENT:Clerical Grade 5
MINIMUM PAY RATE:$14.91 per hour

POSITION SUMMARY
To provide a variety of clerical and secretarial duties requiring the exercise of discretion; to provide effective and efficient customer service assistance to students, faculty, and college personnel, and support to the Department Chairperson and/or staff members. Initiative and independent action in adapting work procedures to new situations are required. Work requires knowledge of the policies and procedures within the Department and College.

ESSENTIAL JOB DUTIES ANDKEY RESPONSIBILITIES
1.Prepare and type correspondence, documents, internal and external reports, tests and other related materials; make copies and distribute as required.
2.Receive and direct visitors, handle phone calls, take and relay messages, provide requested information, prioritize and distribute mail.
3.Plan and schedule appointments and events; maintain calendars, attendance records, catering requests and special projects, assist with mailings.
4.Assist with collecting, transferring, depositing, and verifying monies for all departmental expenditures; assist with maintaining accounting and related business records of operations.
5.Requisition supplies, including promotional items, and keep records of items ordered and received.
6.Assist with payroll for staff and student workers, processing questionnaires, surveys, vehicle requests, facility use, direct pay vouchers, invoices, purchase requisitions, budget transfers, book adoptions, desk copy requests, work order and service arrangements.
7.Assist all adjunct faculty in the department; conduct student evaluations of faculty.
8.Participate in achieving departmental and college goals and objectives.
9.Perform related duties as assigned.

MINIMUM QUALIFICATIONS
1.High school diploma or equivalent.
2.One (1) year of related experience.
3.Ability to perform accurate data entry and proofread carefully.
4.General knowledge of modern office procedures.
5.Strong personal computer skills and a thorough knowledge of Microsoft Office Word and Excel for Windows. Familiarity with email and Internet.
6.Ability to perform multiple tasks simultaneously.
7.Attentiveness to detail, strong organizational and math skills, initiative.
8.Strong verbal and written communication skills, and ability and willingness to work cooperatively with a diverse population.

PREFERRED QUALIFICATIONS
1.Familiarity with Datatel/Colleague.

PHYSICAL DEMANDS
1.Normal office physical demands.
2.Ability to travel between campus locations and to and from community events.

WORKING CONDITIONS
1.Duties are performed indoors in the usual office environment.

The website and booklet contain information regarding campus security and personal safety such as crime prevention and reporting, police law enforcement authority, disciplinary procedures and other related security policies. They also contain information about crime statistics for the three previous years for all JJC campuses, property owned and controlled by JJC District 525 and on public property immediately adjacent to JJC campuses.
This information is required by law and is made available by the Joliet Junior College Police Department.
