Marian University, a Catholic Franciscan institution of higher education, invites applications for the position of Administrative Assistant in the Registrar’s Office.The Administrative Assistant assists the Registrar and Associate Registrar in the area of customer service, daily office operations, and special projects.

Essential Job Duties:

Provide customer service at the front counter, over the phone, and by email on a daily basis. Route questions to appropriate office personnel or other offices as necessary Open the main office each morning (office opens promptly at 8am) Process daily transcript requests and keep staff informed of updates related to our online ordering system Process enrollment and degree verifications and work with data submitted to the National Student Clearinghouse Assist the Registrar in soliciting Incompletes when due and process grade changes submitted by faculty Assist the Associate Registrar in the processing of graduation applications and mailing of diplomas Monitor and order office supplies as needed, while adhering to the office budget Keep the main office organized by filing paperwork and students files; moving files to/from vault as needed; assisting in making new student files Updates and manages Registrar website; posts documents to portal new page Assist the Registrar in updating the Schedule of Classes after it has been published Work in Colleague daily to enter data into the system – advisor/major change forms, address updates, grade entry, withdraw from college processing and reporting, registrations, waiting lists, etc. Manage the process of sending technology sheets to new students Adhere to the Family Education Rights and Privacy Act (FERPA) federal law. Assist with the daily operations of the office and other job duties, as assigned

Applicants should possess the following skills:

Interpersonal/human relations skills. Organization and time management skills. Problem solving and critical thinking skills. Ability to operate personal computer and various software programs. Ability to maintain confidentiality. Flexibility to work some weekend hours during the course of a year

Requirements

Bachelor’s degree required Previous experience in a university setting preferred Work schedule is 8am – 4:30pm, Monday-Friday
