The Institutional Research Project Specialist is responsible for assisting Institutional Research with achieving the college-wide needs for institutional data essential for decision-making at the senior administrative level. This position will assist in fulfilling the College’s data reporting obligations, as well as provide overall comprehensive administrative support for the department.

Essential Duties and Responsibilities

•Provide comprehensive administrative assistance and support for the office:
oServe as point of first contact for the office. Welcome students, faculty, staff and visitors; answer general inquiries, and answer and direct telephone calls.
oMaintain office supply inventory and monitor instructional supplies and department equipment.
oProvide quarterly budget updates.
•Responsible for extracting, verifying, storing, and updating institutional data from various College sources for use in Institutional Research.
•Create and/or assist with the creation of electronic files and institutional reports.
•Assist in data collection to respond to information requests from internal constituents, state and federal agencies, and other external organizations.
•Analyze quantitative and qualitative data and assist in the preparation of the appropriate materials (memos, reports, graphs, tables, etc.) to distribute to the College community.
•Assist in the design of survey instruments and assume responsibility for the production, administration and collection of the survey responses.
•Assist in the initial development and creation of survey and departmental reports.
•Organize, facilitate and maintain confidential faculty evaluations and the reporting process which includes:
oExtracting, collecting, recording and validating data for courses every semester and preparing accurate course evaluations, and overall faculty and departmental reports each semester.
oEnsure that faculty, department chairs, program directors, and administrative assistants maintain proper procedures.
oPrepare tenure, pre-tenure and 3rd Year review packages of faculty evaluations and ratings of specific faculty candidates.
oRespond to inquiries from departmental chairs, program directors, Tenure and Review Committee members and the Office of the Provost during the review process of faculty.
oComplete end of year summary report for course evaluations.
•Assist the Director of Institutional Research with updating and meeting deadlines of all annual projects or surveys for the office via the use of project management tools.
•Prepare an end of fiscal year report for the office detailing all completed projects or surveys.

Required Qualifications

Bachelor’s degree from a regionally accredited college or university in a related field of study and 3-5 years of higher education experience required. Experience in data analysis and producing general and survey reports preferred.
This position requires strong customer service focus, communication, and time management skills. Professional demeanor with the ability to interface with internal and external customers with diplomacy and tact is essential. Incumbent must be familiar with state, federal, and international data sources relating to higher education, including governmental, non-governmental, and commercial providers (e.g. IPEDS, College Board, US News, and SACSCOC). Demonstrated ability to work both autonomously and as a part of a collaborative team with experience managing multiple deadlines and priorities. Proficiency in Microsoft Office applications including Word, Excel and Power Point; and the ability to type 55 wpm is required. Experience with a report writer and project management software preferred.

Excellent oral and written communication skills are required when providing information and responding to questions from faculty and staff in one-on-one or group situations. Incumbent must be able to write business correspondence and perform administrative duties that require creating mail merges, fliers, and spreadsheets using formulas, plus the use of Lotus Notes, Banner Financial and Internet navigation. Also, must be able to read, analyze, and interpret documents. To be successful in this position, individual must demonstrate the ability to work from a broad perspective and see the interrelationships between academic, administrative, educational, personnel, and fiscal information in a higher education setting.
