Description
This member’s principal role is to complete the majority of processing tasks related to the functional areas included within Enrollment Services. This individual will also the serve as the primary contact for individuals visiting the Enrollment Services Office which supports the HUB, Oglethorpe University’s integrated one-stop shop. The Enrollment Services Office is a secondary customer area after the HUB. This position will evaluate incoming requests to be properly routed to the appropriate staff area for resolution or schedule appointments with appropriate staff as needed. There is an expectation to provide exemplary customer service to students, families, faculty, staff, and alumni.
Duties and Responsibilities
- Primary person responsible for processing multiple registration forms including but not limited to Add Forms, Drop Forms, Individual Course Withdrawal Forms, Overload Petitions, and University Withdrawal Forms;
- Primary person responsible for processing needed changes to student records including but not limited to FERPA release authorization, change of address, change of contact information, change of major/minor, and change of advisor;
- Primary person responsible for processing record requests including but not limited to transcript (official and unofficial) requests and enrollment verification requests received from the National Student Clearinghouse and through the online student portal;
- Primary person responsible for processing returned financial aid award letters from incoming students;
- Primary person responsible for posting all payments received in-person at the HUB for Enrollment Students to respective student accounts;
- Position will develop office verification business processes for most transactional processes that occur in Enrollment Services;
- Initial point-of-contact for all walk-in customers to Enrollment Services, after customers have already been to the HUB or have been redirected to Enrollment Services. Will evaluate issue at hand and refer customers to appropriate areas or staff members for appropriate resolution. These issues cover a wide breath of topics including but not limited to financial aid, registration, advising, student accounts, refunds, international student issues, new student orientation, travel courses, transfer credit application, etc.;
- Expected to answer incoming phone calls that come into HUB/Enrollment Services main phone line;
- Assist customers with scheduling appointments with various staff members in Enrollment Services;
- Comply with all institutional, state, and federal policies, guidelines, and regulations, including the Family Educational Rights and Privacy Act (FERPA);
- Assist with the processing and posting of transfer credits to student records.
Qualifications
Required Qualifications
- High school diploma or equivalent supplemented with two years of office work experience or one year of experience in a student services environment
- Experienced customer-service skills
- Exceptional interpersonal skills
- Self-motivated individual who works well both independently and collaboratively in a team
- Ability to work with diverse populations
Preferred Qualifications
- Bachelor’s degree
- Previous experience with Colleague by Ellucian
- Familiarity with higher education transaction processing systems
- Experience working with Microsoft Office
- Previous experience in the higher education industry
Work Environment
Normal use of office equipment, sitting at a desk, occasional lifting (<25 lbs).
