Bachelor’s degree from an accredited university and two years of job-related experience, or equivalent combination of education and experience.

Knowledge of federal and state agency-specific guidelines relating to grants and contracts.

Experience working with PIs and grant staff in higher education setting.

Ability to organize and prioritize workload and work effectively in a fast-paced, deadline-driven work environment.

Advanced knowledge of Microsoft Word and Excel and other software, web-based tools, databases, and other relevant technologies.

Ability to learn, interpret, and stay current on federal, state and University processes and procedures, including IRB, with an understanding of grant and contract terminology.

Interpersonal skills including tact, diplomacy, and flexibility and evidence of consistently providing excellent customer service.

Ability to work well independently and willingness to seek out assistance when needed.

Preferred Qualifications

Bachelor’s or master’s degree in accounting, business administration, or related field.

Extensive knowledge of the OMB Uniform Guidance and experience with federal and state agency specific guidelines relating to grants and contracts.

Knowledge of Texas State University policies and procedures, especially a working knowledge of Texas State’s enterprise resource planning (ERP) systems, i.e., SAP.

Member of NCURA.

Earned Certified Research Administrator credential.

Job Description

College of Education Research Coordinator for Post-Award Administration is responsible for: assisting PIs and their staff with all post-award administrative functions, including a) HR-related tasks, purchasing, travel, budget management, sub-award monitoring, closeout procedures, budget reporting, and audits; b) ensuring that post-award administration activities comply with the OMB Uniform Guidance as well as state, university, and sponsor requirements; and c) advancing the College of Education Research Office’s strategic goals.

Job Duties

1. Assist with post-grant and contract award administration, including: a) collaborating with Office of Sponsored Programs staff to ensure all awards are set up properly; b) helping PIs and grant support staff execute budget-related activities, (e.g., coordinating with ORSP’s negotiations of final budget with funder, hiring employees, processing travel, purchasing, and assisting with problem solving as issues arise); c) developing and providing grant training; and d) providing faculty-friendly resources on the COE web site related to post-award administration of grants and contracts;

2. Assist PIs with monitoring funded grant and contracts from account setup to closeout by reviewing and understanding the terms and conditions of awards and providing reports, (e.g., monthly expenditure statements, other financial reports, as necessary, Research Outcomes reports);

3. Communicate, collaborate, and meet with a) COE faculty, staff, and administration; b) faculty and staff from other Colleges/Centers; c) other Research Coordinators; d) Office of Sponsored Programs staff; and e) AVP Research staff;

4. Generate budget reports/updates and budget projections as needed. Facilitate with ORSP for official financial reporting;

5. Create and maintain post-award administration resources on the COE Research Office website;

6. Participate in research related meetings and internal workshops;

7. Participate in personal professional development opportunities offered by Texas state and/or other providers; and

8. Other duties as assigned, e.g., assisting COE Dean and Associate Dean for Research and Sponsored Programs with research-related items.
