Reporting to the Director of Athletics, this position has the responsibility of budgeting operating funds and financial aid, tracking and reconciliation of revenues and expense activity, tracking of budget activity to ensure sound, accurate fiscal practices within NCAA and University policies. Oversight of CFSB accounts, budget preparation, and weekly tracking/balancing.

Responsibilities & Duties
• Budget preparation and formation.
• Prepare weekly balance sheets.
• Send monthly updates to university personnel as needed.
• Meeting with coaches regarding budgets and fund availability as necessary.
• Conduct training sessions with new coaching staffs to go over purchasing and travel policies.
• Receipting cash reimbursements from travel, cash funds, etc.
• Processing mail logs for incoming sponsorship and donation checks for the ticket office that received in the Athletic Department.
• Scholarship spreadsheets with financial dollars and equivalencies.
• Oversight of athletic budget plus day-to-day dispersal of funds via grant-in-aid forms, requisitions, payment requisitions, payment requests, travel vouchers, etc., for both state, MSU Foundation and Racer Club accounts.
• Manage all phases of planning, preparation, and budgetary evaluation of athletic events involving monetary guarantees and/or NCAA stipends.
• Assist with preparation of various contracts as necessary.
•Assist with preparation of budgetary documents needed for NCAA, OVC, state and governmental offices and to ensure that they are submitted to appropriate offices in a timely manner.
• Assist with preparation of surveys, reports, etc., for NCAA, OVC and others as requested.
• Evaluation of athletic travel expenditures to ensure compliance with MSU and NCAA regulations.
• Monitoring requisitions to ensure expenditures are allowable and properly coded.
• Verify and sign all monetary related documents for the department (other than athletic director accounts, restricted donor accounts, major purchases).
• Oversee CFSB accounts to ensure balancing to Banner, accurate projections, budget preparation and weekly tracking.
• Other duties as assigned.

As a member of the Murray State University Athletic Department, you shall comply with all applicable NCAA rules and regulations as provided in the NCAA Division I Manual. If you are found in violation of NCAA regulations, you shall be subject to disciplinary or corrective action as set forth in the provisions of the NCAA enforcement procedures, including suspension without pay or termination of employment for significant repetitive violations.

Minimum Education Requirements

Bachelor’s Degree required

Minimum Experience and Skill Requirements

• 5-7 years’ experience in a business office with accounts management
• One year in fiscal management position, preferably Division I athletics.
• Experience in MS Excel software required.

Preferred Education and/or Experience Qualifications

• Knowledge of NCAA rules and regulations relating to financial aid and allowable expenses relating to recruiting, financial aid, etc., preferred.
• Knowledge of University budgeting process and managing a budget within an administrative unit preferred.
