Work Conditions

Work is primarily indoor and sedentary in nature. Flexibility with work schedule required on occasion (early mornings, evenings and weekends).

Duties of Position

Responsible for providing high level clerical and reception support for the President’s Office. Maintains the confidentiality of the office. Acts as representative for the office. Provides support and back-up for the Administrative Coordinators in the operational details of the office and for special projects and events.

Serves as the President’s Office receptionist. Greets visitors and answers telephone, screens and channels calls, takes and distributes messages. Provides information and refers individuals to appropriate resources as needed.

Assembles meeting and background information for daily schedule binder for the President.

Maintains confidentiality and privacy for sensitive information.

Monitors budget activity and makes recommendations for transfers or adjustments. Processes invoices, check requisitions and other expenditure information and maintains appropriate records for specified programs and projects.

Opens, sorts and distributes incoming office mail. Assists in mailing preparation as needed.

Maintains Operations Calendar for President’s Office.

Places online service requests with Facilities, Service Desk, Staples.

Assists with confirming appointments as requested.

Provides support for events and meetings, such as room scheduling, catering orders, response follow-up.

Provides clerical assistance including proofreading, photocopying, and assembling materials.

Assists with special projects as needed.

Performs other duties as assigned.

Educational Requirements

Associate Degree or equivalent experience with specialized training in office skills including Microsoft Office 365 (Word, Excel, PowerPoint, Outlook).

Experience Requirements

3 years working in a fast-paced office environment. Excellent verbal, written and critical thinking skills required. Detail oriented; self-starter with high motivation. Able to perform under deadlines. Provide high quality, enthusiastic customer service to faculty, administration, students, and colleagues. Committed to the values and mission of Harper College.
