Position Summary Information

Primary Purpose

Responsible for providing outstanding service in a fast paced, dynamic, compliance driven environment to a diverse community of University stakeholders in regards to all aspects of student business services. Provides cashiering services to stakeholders, counsel students and their families on financial obligations, and insures financial reporting accuracy in all transactions. Reviews, maintains, and processes fiscal/accounting records and transactions related to student accounting records, tuition receivables, and accounts receivable. Duties will require a sophisticated understanding of academic, registration, financial aid and Student Accounts policies and procedures.

Essential Functions

1. Provides customer assistance on a variety of topics related to student services including but not limited to student account audits to students, parents, faculty, staff and community members.

2. Performs analysis that directly affect receivable balances such as tuition and fee billing, housing, registration, financial aid awards, exemptions, waivers, payments and refunds for accuracy and compliance with University policy and federal regulations.

3. Conducts assessment of student needs and proactively engages students in conversation and financial planning related to their college experience; facilitates set up of payment plans for current student accounts.

4. Monitors account balances and ensures accurate and timely processing of withdrawal calculations so that internal policies and procedures are met as well as compliant to all Financial Aid regulatory requirements.

5. Negotiates resolutions to outstanding student account balances and financial clearance.

6. Assesses late fees, add restriction holds and notices to students’ accounts as needed.

7. Collaborates with various departments on campus to ensure efficient process as it pertains to tuition and fees regarding special academic programs.

8. Guides end users with the University’s online self-service tools including the internet billing and payment software system.

9. Prepares and audits student payment plans and financial acceptance of the plans for accuracy and compliance with University policy.

10. Prepares financial and statistical worksheets, forms, form letters and reports.

11. Maintains and improves knowledge of federal and state regulations and financial aid programs through attendance at workshops, conferences and keeping abreast of industry trends.

12. Documents processes and procedures for financial activities.

13. Assists with researching, developing, and implementing new and changing business processes. Participates in project planning and rollout.

14. Processes external and internal scholarships. Insures funds are deposited timely to bank; applied accurately and timely to the student account; reconciles general ledger account monthly, end of term, and year end to insure accurate posting and financial reporting.

15. Independently performs analysis on moderately complex financial services such as researching discrepancies, internal control implications and compliance with internal and external policies. Prepares analysis and summaries.

16. Monitors account balances and ensures accurate and timely processing of withdrawal calculations in relation to Title IV funds so that internal policies and procedures are met as well as compliant to all financial aid regulatory requirements.

17. Assists Cashier’s as needed.

18. Performs other duties as assigned or requested.

Minimum Qualifications

• Bachelor’s degree in Accounting, Business Administration or related field or equivalent combination of experience, training, and education.
• Work experience in banking, accounts receivable and/or customer service.
• Experience with financial systems or student account software administration or equivalent.

Preferred Qualifications

• Banner experience preferred.
• Higher education administration (Cashier, Student Accounts, Student Loans, Financial Aid or Registrar) experience preferred; or equivalent combination of experience, training, and education.

Skills/Knowledge and Expertise:
• Demonstrates strong customer service skills, both verbal and written.
• Excellent problem solving, analytical, reconciliation and critical thinking skills.
• Attention to detail.
• Able to apply working knowledge of financial processes, policies and procedures to a wide variety of situations.
• Ability to utilize, understand, and analyze the use of a wide variety of enterprise and personal computer applications.
• Able to approach all constituents in an open, friendly manner with an attitude of customer service, cooperation or collaboration as required by the circumstances.
• Capable of handling multiple projects simultaneously with frequent interruptions.
• Experience with the billing and collection of student receivables.
• Possesses strong diplomacy skills and the ability to make sound judgments.
• Ability to exercise tact and discretion in dealing with sensitive and confidential issues.
• Skillful in organizational and time management practices to complete multiple tasks, projects or deadlines in a demanding, high-volume, fast paced environment.
• Ability to audit and analyze complex student financial issues.
• Knowledgeable in office filing systems and recording keeping procedures.
• Proficient in MS Office suite for spreadsheets and word processing.
• Able to work positively both independently as well as collaboratively with a diverse and dynamic team of professionals as well as with students, parents, faculty and staff in an integrated, virtual and actual student service environment.
• Knowledge of FERPA, GLBA, Title IV regulations, HIPPA, PCI, and applicable privacy laws as related to student information.
• Positive attitude, proven ability to work successfully with diverse populations and demonstrated commitment to promote and enhance diversity and inclusion.

Work requires extended periods of sitting and repetitive hand/wrist motion while using computer keyboard and phone. Infrequent walking, standing, climbing stairs, bending, stooping and reaching. Occasional lifting up to 25 pounds, carrying, pushing/pulling.
