Position Description:
The Office of Business and Financial Services (OBFS) is a part of the Office of Research Administration (ORA) and provides core business services to seven units within the ORA and the Office of the Vice Chancellor for Research (VCR). The Operations Specialist is primarily responsible for a wide variety of duties: administration of the day-to-day operations related to building management, space management, equipment management, and building security involving 200 staff; the incumbent independently responds to and follows through to completion trouble calls using iSupport system for repairs and maintains three floors of approximately 48,000 square feet of high-rise office space; assist department management with internal moves and work station/office reconfiguration; serve as preparer of travel reimbursements, purchasing, and other financial transactions for OBFS as well as the of the Office of the Vice Chancellor for Research (VCR) and the Office of Research Policy and Compliance (RPC); reconcile the General Ledger, maintain supporting documentation for expenditures and resolve discrepancies as required; supervise the maintenance of equipment and space inventories within the VCR, update Asset Management System (AMS) throughout the year, and certify annual audits for the Director's signature. The position also serves as the Assistant to the Director by managing the Director's calendar, arranging departmental meetings, including scheduling routine, ad hoc, and urgent meetings and coordinating associated logistics. The Director is involved with highly sensitive and confidential matters and the incumbent is expected to function with the highest level of discretion and confidentiality. Produce presentation materials from concept to final product using appropriate software (PowerPoint, Visio, etc.), and proofread and/or create other process/procedural materials related to workflow, user guides, charts/graphs, etc.
