Administrative Assistant, Special Master's Program (SMP) - Georgetown University Medical Center

Since 1975, Georgetown University School of Medicine has conducted a one-year special program leading to a Master of Science degree in Physiology. This program, called the Special Master's Program (The SMP), is tailored to college graduates who wish to strengthen their credentials for application to U.S. medical schools.

The Administrative Assistant supports the SMP's leadership and faculty, as well as the Biomedical Graduate Education Office - in particular, facilitating a large amount of database updating and alumni research as we strive to create a vital real-time networking system for 40+ years of alumni. This position necessitates being able to work well with others, learn a variety of clerical and admissions duties, and communicate effectively with applicants, current students, faculty and staff.

Reporting to the Assistant Director, the Administrative Assistant has duties that include but are not limited to:

Applications
  • Reviews and makes primary decision on SMP applications under supervision of SMP Assistant Director.
  • Processes admission decisions by entering new data and decisions in database.
  • Assists in managing the wait list.
  • Works with the BGE office in processing of applications and withdraws.

Communications
  • Communicates with perspective applicants via phone, email, and in-person meetings.
  • Recruits at events.

Exams
  • Assists the Assistant Director and Office of Medical Education with exams.
  • Assists with creating and posting exams in ExamSoft software.
  • Attends trainings and meetings relating to ExamSoft.
  • Supports the Assistant Director on administering make up exams.

Letters of Recommendation
  • Works with Director, Assistant Director, and faculty on the letter of recommendation (LOR) process for current SMP students.
  • Works with alumni who require LOR updates or letters.
  • Schedules LOR meetings with faculty and students.
  • Reserves rooms for LOR meetings.

Program Support
  • Assists current students with medical schools applications.
  • Answers current students' questions about program-related issues.
  • Supports the Assistant Director with events, such as Orientation, Parent Orientation, class meetings, and commencement activities.


Qualifications
  • Bachelor's degree
  • General organizational skills and the ability to work independently
  • Good communication skills
  • Ability to work easily with computer based programs, databases, spreadsheets and mail merges
  • The ability to multi-task, prioritize and problem solve
  • Flexible and team player

Preferred qualifications
  • MS in Physiology
  • The ability to read quickly and summarize information in a succinct manner
