The Assistant to the Dean of Students oversees the administrative functions of the Student Services Division at the Annandale Campus. and serves as the office manager of the dean’s office.
Duties and ResponsibilitiesThe Assistant to the Dean of Students oversees the administrative functions of the Student Services Division; Provides administrative support to the Dean and members of the Student Services Leadership Team; Oversees all campus student services budgets and purchasing processes for the division; Monitors spending for each department each month and ensures that encumbrances are cleared in a timely manner; Handles all purchasing for Student Services departments using eVA purchasing system and the division Pcard; Processes requisitions and submits long-term payment contracts; Is responsible for screening students, faculty, staff, and external guests; Handles routine inquiries and makes referrals to the dean or other appropriate college officials; Serves as the office manager; Maintains the confidential and other files in the Dean’s office; Assists the Student Conduct team with records management and scheduling appointments; Handles travel requests for all members of the division; Processes paperwork for students seeking to transfers; Assists with requests for background checks on students from outside entities who are conducting investigations; Works with students to resolve problems, handles emergency requests and helps to handle student and parent complaints.
Minimum QualificationsAssociate’s degree or equivalent combination of education and experience. Experience in office administration, customer service and complaint resolution.
Preferred QualificationsBachelor’s degree. Administrative support and customer service experience in a higher education setting. Familiarity with eVA or related purchasing procedures. Experience with PeopleSoft or similar student information system. Fluency in a second language commonly spoken in Northern Virginia.
Required Knowledge, Skills, and AbilitiesCustomer service skills. Ability to appropriately screen, resolve, redirect or provide information in response to inquiries. Ability to maintain confidentiality of all business in the Dean’s Office. Ability to problem solve and help students resolve issues. Excellent oral and written communication skills. Skill in computer usage. Ability to work Monday-Friday 8:30 a.m. to 5:00 p.m. and occasionally work evenings and weekends. Basic knowledge of budgeting or purchasing procedures. Excellent organizational skills. Ability to work effectively with a diverse student population.
Ability to pass College’s criminal background check.
